About the position

The Secretary at Forwood Elementary School plays a crucial role in providing general administrative support within established school or department procedural guidelines. This position is designed to ensure compliance with District policies and governmental agency regulations. The incumbent will be responsible for coordinating office workflow to meet established schedules and deadlines, maintaining an organized office environment, and protecting sensitive and confidential information. The role requires managing school and/or administrator calendars, planning and coordinating special events and projects, and preparing and distributing written correspondence. Additionally, the Secretary will access, retrieve, and file documents according to established systems, respond to inquiries via walk-in, email, and telephone, sort and distribute mail, and prepare mass communications. The position also involves ordering and distributing supplies and/or equipment while controlling inventory, performing data entry, reporting, and bookkeeping functions, and maintaining an acceptable attendance record.

Responsibilities

Requirements

  • High School diploma or equivalent.
  • 60+ college credits, Associate's degree or specialized training or certification in related area preferred.
  • Three or more years of related and commendable work experience preferred.
  • Thorough knowledge of general office management, procedures and business machine operation.
  • Outstanding customer service, multi-tasking, time management, organization, and interpersonal communication skills.
  • Exceptional ability to build and maintain effective working relationships and interact professionally with others.
  • Proficiency in data entry, filing, and document processing; familiarity with MS Office Suite of Applications and/or school or department automated systems.
  • Work well independently and in a team environment.
  • Demonstrated ability to take initiative, use good judgment, follow through on assigned tasks, and maintain confidentiality.
