The Secretary will track, compile, and maintain routine case information, which may include criminal history and driver's license details. Daily responsibilities also include processing incoming and outgoing mail, answering calls, and providing general information to visitors. The position may require the Secretary to provide guidance to entry-level secretarial staff, ensuring that all office functions are performed efficiently and effectively. Responsibilities

  • Serves as a receptionist and answers the telephone for assigned District office; determines the nature of the visit or call and directs callers appropriately.
  • Acts as an information source for callers and visitors, providing directions and assistance as required.
  • Maintains inventory of documents, brochures, and applications, distributing them to visitors as requested.
  • Performs basic office support duties such as collating materials, distributing incoming mail, preparing materials for mailing, and completing forms.
  • Proofreads typed or printed materials and types routine correspondence, reports, and other documents.
  • Tracks, compiles, and maintains routine case information, including criminal history and driver's license details.
  • Processes daily incoming and outgoing mail and answers calls to provide general information.
  • May provide guidance to entry secretarial staff.

Requirements

  • High school diploma or GED; or 2 years of administrative support/clerical experience, or an equivalent combination of education and experience sufficient to perform the essential duties of the job.
  • Knowledge of customer service principles and modern office procedures, methods, and equipment.
  • Basic filing and recordkeeping principles, cash handling techniques, and basic bookkeeping techniques.
  • Proficiency in using computers and related software applications, as well as modern office equipment.
  • Strong communication and interpersonal skills to interact effectively with coworkers, supervisors, and the general public.
