About the position

GovCIO is currently seeking a Security Onboarding Specialist to facilitate clearance accessibility for the Internal Revenue Service (IRS). This fully remote position is designed for individuals who can operate effectively within a structured environment, with core hours from 8 AM to 5 PM ET. The role involves coordinating with various business and technology teams to gather necessary information from new hires, which is essential for initiating background checks for IRS access. The specialist will provide functional expertise in identifying, evaluating, and submitting accurate data, ensuring that all onboarding processes are executed smoothly and efficiently. The Security Onboarding Specialist will interact with personnel to collect onboarding documents and ensure their accuracy before submission. This includes utilizing tools such as Dropbox, Airtable, and SharePoint to monitor the establishment of network accounts and the request for government-furnished equipment (GFE) and Personal Identity Verification (PIV) cards. The role requires close collaboration with teammates to track onboarding adjudication status, network account requests, and PIV status, while also escalating any risk issues to the appropriate contacts. In addition to these responsibilities, the specialist will be tasked with tracking and reporting the status of onboarding and offboarding processes, maintaining cumulative personnel counts, GFE issue counts, and PIV card statuses on a recurring basis. The creation of onboarding checklists and conducting new employee orientation presentations are also key components of this role. The specialist will support IRS operations by delivering communications regarding operational topics, archiving contract deliverables, and responding to ad hoc requests to support contract operations analysis and reporting. Furthermore, the role involves developing concise presentations and visualizations using PowerPoint, managing program briefings, and maintaining databases and electronic filing systems. The ideal candidate will assist in defining and implementing onboarding metrics to enhance workflow efficiency and document service requirements for process improvements. This position is critical in ensuring that new hires are effectively integrated into the organization while adhering to IRS policies and procedures.

Responsibilities

  • Coordinate with business and technology teams to initiate and collect required information from new hires for background checks.
  • Provide functional expertise in identifying, evaluating, and submitting accurate data.
  • Interact with personnel to solicit onboarding documents and ensure their accuracy for submission.
  • Submit onboarding requests using tools such as Dropbox, Airtable, and SharePoint.
  • Monitor onboarding adjudication status, network account requests, and PIV status, escalating risk issues as necessary.
  • Track and report status of onboarding and offboarding processes, including cumulative personnel counts and GFE issue counts.
  • Create onboarding checklists for new employees and conduct orientation presentations.
  • Submit offboarding requests or relocation of employees and contractors in accordance with IRS policies.
  • Support IRS operations by delivering communications regarding operational topics such as timesheets and announcements.
  • Assist in archiving processes for all contract deliverables and support ad hoc requests for operations analysis and reporting.
  • Develop concise presentations and visualizations using PowerPoint.
  • Prepare, coordinate, manage, and lead program briefings and reports as needed.
  • Maintain databases and electronic filing systems including MS Teams, SharePoint, and Excel documents.
  • Assist in defining and implementing onboarding metrics to support the team.
  • Document service requirements for process improvements to enhance onboarding/offboarding workflows.

Requirements

  • Bachelor's degree with 2 - 5 years of relevant experience or commensurate experience.
  • Extreme attention to detail to avoid errors and omissions on documents for IRS clearance.
  • Methodical approach to workflow and tasks for maximum efficiency.
  • Analytical thinking skills to determine root causes of problems and create effective solutions.
  • Effective communication skills, including technical writing and the ability to translate technical approaches into actionable tasks.
  • Proficiency in MS applications such as Teams, SharePoint, Excel, and Outlook.
  • Prior experience in database entry and management.
