About the position

The Senior Accounting Clerk position at the University of Tennessee at Chattanooga's Bursar's Office is a full-time role that involves a variety of accounting functions essential for the smooth operation of the office. The primary responsibilities include daily entry and review of updates from the Customer Service Specialist, as well as monthly reconciliation of the Old UC/UTC and Resident Enrollment accounts. This role also involves co-leading the prepayment account reconciliation process, processing contracts, exemptions, and fee waivers, and managing third-party billings. In addition to these tasks, the Senior Accounting Clerk will handle semester processing of non-resident alien functions, focusing primarily on monthly student billing. The position requires auditing of the 1098T setup, which includes reviewing detail codes, updating social security information, and processing inquiries related to 1098T forms. The clerk will also assist with new functions related to the 15/4 setup, ensuring proper review and controls are in place. The role demands a thorough analysis and auditing of fee entries across various detail codes, including lab fees, late fees, differential fees, and installment fee rules in Touchnet. The Senior Accounting Clerk will be responsible for reviewing and updating collection agency accounts, managing write-offs, and applying payments to accounts. Additionally, the clerk will assist with PCI compliance once a year and review GASB reports at the fiscal year-end. Providing answers to both simple and complex fee-related questions during peak times and at the front counter is also a key aspect of this position, along with assisting with parking distribution and entry of Graduate Assistantships. Other office and audit-related duties may be assigned as needed.

Responsibilities

  • Daily entry and review of old UC/UTC updates from Customer Service Specialist and monthly reconciliation of the Old UC/UTC and Resident Enrollment accounts
  • Co-leading for prepayment account reconciliation
  • Processing of contracts, exemptions, and fee waivers
  • Managing third-party billings
  • Semester processing of non-resident alien functions, primarily for monthly student billing
  • Auditing of 1098T set-up, review of detail codes, social security updates, processing and handling questions related to the 1098T forms
  • Address corrections, printing, and replacement form requests
  • Assisting with new functions related to 15/4 set up, review, and controls
  • Analyzing and auditing fee entries for all fee detail codes including lab fees, late fees, differential fees, and installment fee rules in Touchnet
  • Reviewing and updating collection agency accounts, write-offs review, adds and deletes, Housing and UCFND updates to write-offs, application of payments to accounts
  • Assisting with answering telephone calls related to 15/4 and previous fee schedule
  • Providing PCI compliance assistance once per year
  • Reviewing GASB reports at fiscal year-end
  • Providing answers to simple and complex fee-related questions during peak times and at the front counter when needed
  • Assisting with parking distribution at the front counter when needed
  • Assisting with entry of Graduate Assistantships, manual release of Housing Deposits and International Insurance review and entry each semester
  • Performing other office duties and audit related duties as assigned

Requirements

  • Typically requires a high school diploma and two years of relevant experience, or an equivalent combination of education, training, and experience
  • Working knowledge and understanding of accounting processes and computer processes
  • Demonstrated skill in using Excel, Word, personal computers, and office machines
  • Ability to produce reports required in the performance of position duties
  • Ability to provide good customer service
  • Excellent oral and written communication skills
  • Ability to multi-task
