About the position

The Senior Administrative Aide performs a strategic advisory role to the University President and Chief of Staff and is responsible for overall management and supervision of enterprise-wide strategic initiatives and executive communications within the Office of the President. The Senior Administrative Aide serves as a trusted adviser to the Chief of Staff to advance the priorities of the president and to ensure the exceptional standing of the office. This role monitors and advises on the status of strategic initiatives and provides thorough research, data and reporting to ensure successful progression of key priorities. On behalf of the President and Chief of Staff, this role leads and propels the execution of ad hoc initiatives and programs. The Senior Administrative Aide is responsible for cultivating and fostering relationships with key constituencies including administrators, academic leaders, faculty, students, community leadership and public officials. This role formulates, translates, and embeds strategic messaging to advance the vision and culture of the university. The Senior Administrative Aide works independently on many projects and assignments, with significant level of discretion. They serve as the back up for the Chief of Staff in their absence. Some evening and weekend work and travel will be required.

Responsibilities

  • Perform a strategic advisory role to the University President and Chief of Staff.
  • Manage and supervise enterprise-wide strategic initiatives and executive communications.
  • Monitor and advise on the status of strategic initiatives.
  • Provide thorough research, data, and reporting to ensure successful progression of key priorities.
  • Lead and propel the execution of ad hoc initiatives and programs.
  • Cultivate and foster relationships with key constituencies including administrators, academic leaders, faculty, students, community leadership, and public officials.
  • Formulate, translate, and embed strategic messaging to advance the vision and culture of the university.
  • Work independently on various projects and assignments.
  • Serve as the backup for the Chief of Staff in their absence.

Requirements

  • Bachelor's degree in Higher Education Administration, Non-Profit Management, Public Policy, Business Administration or related field.
  • At least 5 years of relevant experience in higher education, government, or private sector.
  • Strong leadership abilities and strategic thinking/planning skills.
  • Ability to perform complex tasks, prioritize multiple projects and use technology to achieve operational efficiencies.
  • Strong interpersonal, organizational and critical thinking skills.
  • Adaptability to meet changing demands and work effectively with internal and external constituencies.
  • Ability to identify, analyze and address a wide variety of issues with a solutions-oriented lens in a high-intensity environment.
  • Ability to gather data, compile information, and prepare reports.
  • Excellent oral and written communication skills.
  • Professional experience building positive relationships and creating a welcoming and rewarding working environment.
  • Some evening and weekend work and travel will be required.

Nice-to-haves

  • Master's degree in Higher Education Administration, Non-Profit Management, Public Policy, Business Administration or related field.
  • Knowledge of strategic planning practices, project management and communications.
  • Ability to contribute to communication strategy, compose, and edit written materials.
  • Ability to build, motivate, and direct a diverse staff.
  • Experience in a higher education environment and knowledge of the goals, objectives, structure, and operations of a major public university.
  • Demonstrated ability to maintain confidentiality, use discretion, exercise humility and emotional intelligence.
