About the position

The ideal candidate will have strong Microsoft Office experience along with calendaring experience using Outlook, Zoom & Skype. This position involves providing high-level administrative support to all faculty within the Department, coordinating travel activities, maintaining departmental records, and overseeing administrative processes. The role also includes financial support, meeting coordination, and research support, ensuring compliance with institutional guidelines and maintaining confidentiality.

Responsibilities

  • Provide high-level administrative support to all faculty within the Department.
  • Coordinate travel activities for all faculty, including booking flights, arranging rental cars, hotel accommodations, and conference registrations.
  • Ensure all travel expenditures are processed according to institutional guidelines and reimbursed in a timely manner.
  • Maintain departmental phone list and organizational chart.
  • Provide oversight of administrative processes impacting the operation of the section and department.
  • Perform as the administrative back-up or desk coverage for EA.
  • Lead and mentor administrative support staff.
  • Maintain and organize the inventory for office supplies and equipment.
  • Prepare, sort, and route incoming and outgoing mail/shipments/packages.
  • Act as the primary Kronos timekeeper for the Department.
  • Generate reports, documents, presentations, and spreadsheets.
  • Input calendar entries and compose correspondence.
  • Handle highly confidential information adhering to HIPAA regulations.
  • Manage legal requests and ensure security of patient specimens.
  • Serve as departmental purchaser using the institutional Resource One System.
  • Process accurate and timely expense reports.
  • Create, process, and track purchase orders and expense reports.
  • Monitor, track, reconcile, and attest financial funding sources.
  • Schedule and maintain meetings and conferences.
  • Record meeting minutes and prepare materials for conferences.
  • Create and maintain CVs and NIH biosketches.
  • Assist with research-related activities and projects.
  • Perform Epic/Beaker/SlicerDicer searches for research faculty projects.
  • Assist with submission of manuscripts and articles.

Requirements

  • High school diploma or equivalent.
  • Five years of administrative/secretarial experience.
  • Preferred Associate's degree with three years of required experience.
  • Preferred Bachelor's degree with one year of required experience.
  • Must pass pre-employment skills test as required.

Benefits

  • Midpoint salary of USD 56,500.
  • Maximum salary of USD 68,000.
