About the position

The Senior Administrative Assistant role at Travelers Indemnity Company is a pivotal position that provides complex administrative support to senior management, specifically reporting to the Chief Information Officer (CIO) of Personal Insurance Technology. This role is essential in ensuring the smooth operation of the department by managing a variety of administrative tasks that require a high level of organization, communication, and facilitation skills. The successful candidate will be responsible for proactively handling complex administrative assignments that relieve senior management of routine details, allowing them to focus on strategic initiatives. In this role, the Senior Administrative Assistant will exercise considerable discretion and independent judgment in facilitating overall department operations. This includes directing the activities of other support staff as necessary and coordinating inter-departmental or department-wide administrative projects. The position requires complex scheduling, which typically involves internal, external, and department-wide meetings. Additionally, the Senior Administrative Assistant will have full responsibility for planning department-wide events and travel arrangements, ensuring that all logistics are handled efficiently. The role also involves preparing and submitting expense accounts, managing and tracking actual expenses versus budget, and developing or upgrading the budget system for the senior management area of responsibility. Regular interaction with internal and external executives, community leaders, and shareholders is expected, along with the ability to initiate follow-up actions as needed. The position calls for moderate to advanced conflict resolution skills and frequent problem-solving with both internal and external staff, utilizing basic change management skills as necessary. Other duties may be assigned as required, making this a dynamic and engaging role within the organization.

Responsibilities

  • Proactively handle complex administrative assignments to relieve senior management of routine details.
  • Exercise discretion and independent judgment in facilitating overall department operations.
  • Direct the activities of other support staff as necessary.
  • Coordinate inter-departmental or department-wide administrative projects, including broad communications and overseeing internal/external services purchased.
  • Develop and implement department/business unit guidelines for operating policies and procedures.
  • Manage complex scheduling involving internal, external, and department-wide meetings.
  • Take full responsibility for department-wide event and travel planning.
  • Prepare and submit expense accounts and other types of expenses.
  • Manage and track actual expenses versus budget, developing or upgrading the budget system.
  • Regularly interact with internal and external executives, community leaders, and shareholders, initiating follow-up actions as needed.
  • Utilize conflict resolution skills via phone and in person as necessary.
  • Initiate, develop, and make decisions regarding office practices/procedures within authority level.
  • Perform other duties as assigned.

Requirements

  • High school degree or equivalent required.
  • Minimum of 3 years of related work experience required.
  • Minimum of 5 years of related work experience preferred.
  • Advanced skill level required in all Microsoft Office applications, including complicated Excel spreadsheets (i.e., vlookup).
  • Utilize multiple software packages to prepare highly confidential correspondence and complex documents.
  • Independently design advanced spreadsheets, graphics, presentations, and database applications.
