About the position

The Senior Administrative Assistant at GlaxoSmithKline (GSK) plays a crucial role in supporting the ADI head and team across multiple locations, including the US, Belgium, and Italy. This position involves managing schedules, organizing meetings, and facilitating travel arrangements, while also contributing to employee engagement initiatives and site-wide events. The role is designed to enhance career progression through key responsibilities and collaborative efforts within the organization.

Responsibilities

  • Responsible for full schedule management for ADI team head
  • Efficiently manages calendar management and schedule meetings in various geographies and time zones
  • Manage and make travel arrangements, accommodating changes and updates as needed
  • Organize and plan team meetings by assisting with agenda development, the production of materials, taking notes, and tracking action items, as needed
  • Coordinate travel arrangements including flights, visas/passports, cars, hotels, and other reservations
  • Manage and process expense reports
  • Operate with integrity and work on various tasks with a high degree of confidentiality
  • Provide support to the ADI team members located in US, Belgium and Italy when required
  • Support site-wide project management of meetings/events, including organization of agenda setting, arranging speakers, meeting promotion, execution of the meeting, etc.
  • Organize tours for the appropriate external visitors and support local site-wide initiatives, when required
  • Support site stakeholders to plan site-wide and community events and connect activity across various site teams.

Requirements

  • Associate degree or equivalent
  • Strong organizational / project management skills
  • 2+ years of business support experience
  • Experience in MS office and MS Teams

Nice-to-haves

  • Bachelor Degree or higher degree
  • Demonstrated ability to build collaborative relationships at all levels in the organization, including senior management
  • Ability to work in and manage cross-functional matrix teams/projects
  • Superior interpersonal skills to facilitate optimal interaction within R&D functions, as well as with Global Support Functions
  • Ability to coordinate and manage multiple projects/focus areas simultaneously
  • Comfortable with ambiguity and adept at managing a rapidly changing environment
  • Has a 'can do' attitude, helping the R&D organization to focus on projects and employee engagement
