About the position

The Senior Administrative Coordinator at UTHealth provides essential business and financial operations support to a department or group of professionals. This role involves making complex business process decisions, ensuring compliance with university policies, and managing various administrative functions. The coordinator will oversee personnel transactions, budget monitoring, and human resources activities, while also serving as a liaison for business and financial issues.

Responsibilities

  • Coordinates day-to-day business and financial processes.
  • Verifies accuracy of personnel and payroll transactions according to university policies.
  • Handles confidential information and sensitive issues.
  • Reviews personnel action forms for appointments, promotions, and salary changes.
  • Coordinates Human Resources activities including recruiting and selection.
  • Monitors open encumbrances and expenditures, providing budget status reports.
  • Monitors travel, purchasing, payroll, timekeeping, contracts, and grants.
  • Acquires documents to ensure compliance with grant requirements.
  • Maintains departmental equipment and space inventories.
  • Monitors fund sources for budgetary accuracy and compliance.
  • Approves purchase requisitions based on signature authority guidelines.
  • May direct daily activities of the department through administrative staff.
  • Creates and edits communications materials for the department.
  • May train and lead entry-level support staff and assist with performance evaluations.
  • Serves as an administrative liaison regarding business and financial issues.
  • Advises on financial practices and may draft policies as assigned.
  • Responsible for making routine business and financial decisions.

Requirements

  • Bachelor's degree in a business-related field required.
  • Three years of related work experience required.
  • Prior experience in finance, accounting, business administration, or management required.
  • Advanced working knowledge of standard Office Software such as Word, Excel, PowerPoint, and Outlook is required.
  • Advanced working knowledge of University financial systems is preferred.
