About the position

The Senior Administrative Operations Specialist at Rice360 Institute for Global Health Technologies is responsible for overseeing and coordinating various administrative functions critical to the institute's operations. This role involves creating and implementing plans and processes to ensure effective functionality, managing logistics for large-scale meetings and events, and providing support for travel and other administrative tasks. The specialist acts as a key liaison for the institute, representing it to various stakeholders, including faculty, staff, and external partners.

Responsibilities

  • Lead the planning and operations for functions or programs of the institute.
  • Support the management of institute budgets, human resources, and facilities functions.
  • Organize, manage, and complete special projects.
  • Evaluate programs, policies, and procedures, identifying issues and developing solutions.
  • Review and analyze trends to advise and develop recommendations for program goals.
  • Develop and implement outreach strategies, including relationship development and compliance.
  • Assess training needs and develop associated training programs.
  • Perform all other duties as assigned.

Requirements

  • Bachelor's Degree or equivalent experience.
  • Two years of related experience, with substitutions allowed for additional education.
  • Ability to manage priorities and handle time-sensitive projects.
  • Strong problem-solving, critical analysis, and decision-making skills.
  • Excellent planning, organizational, and communication skills.
  • Strong knowledge of relevant subject matter.

Nice-to-haves

  • Administrative experience in a college or university setting.
  • Experience in meeting and event planning in academic or non-profit settings.
  • Experience supporting complex domestic and international travel.
  • Strong MS Excel and Word skills, familiarity with other Microsoft Office programs.
  • Basic knowledge of procurement and expense reconciliation.
