About the position

CyberPro is seeking a highly experienced executive administrator to provide essential support for the ASPR mission, which focuses on public health preparedness and emergency response. This role is critical in ensuring that the professional staffing support services required by ASPR are effectively managed across various program and functional mission areas. The executive administrator will work in a hybrid environment, balancing remote work with in-office responsibilities, and will play a pivotal role in facilitating the smooth operation of executive functions within the organization. The executive administrator will be responsible for a wide range of tasks that require a high level of organization, attention to detail, and the ability to manage multiple priorities. This includes scheduling and monitoring staff calendars, answering telephones, routing calls, and taking messages. The role also involves preparing and managing executive travel logistics, organizing files and written communications, and coordinating activities with direct reports and other staff members. The administrator will take meeting notes, prepare correspondence for signature, and make travel arrangements, including the preparation of travel vouchers. In addition to these responsibilities, the executive administrator will coordinate special projects such as white papers, reports, and briefings. They will be tasked with editing and updating important documents, including management directives and policy papers. The role requires the ability to provide comprehensive meeting notes and minutes, action items, and schedules of activities for personnel and groups. Furthermore, the administrator will review and write executive correspondence and documents, ensuring that all communications are clear, professional, and aligned with the organization's objectives.

Responsibilities

  • Provide high level executive administrative support

Requirements

  • Minimum Bachelors, or other 4-year degree
  • 5-10 years minimum professional experience
  • C-level executive support experience
  • Ability to obtain a public trust clearance

  • Experience across different industries in an executive administrative capacity
