About the position

The GEICO Agency Operations team is seeking a highly organized and ambitious candidate for the role of Senior Executive Assistant. This position is crucial in providing comprehensive administrative support to our Vice President, Senior Director, and Director team. The successful candidate will be responsible for managing and maintaining the executives' schedules, appointments, expense reports, and travel arrangements. This role requires a proactive approach to coordinating and scheduling meetings, conferences, and events, ensuring that all logistics are handled efficiently and effectively. In addition to scheduling and coordination, the Senior Executive Assistant will screen and direct phone calls and emails to the appropriate parties, prepare and distribute correspondence, memos, and reports, and assist in preparing presentations and other materials for meetings. The role also involves maintaining and organizing filing systems, both physical and digital, conducting research, and compiling data as needed. The candidate will coordinate and track expenses and reimbursements and support onboarding needs for field associates, providing general administrative support to the executive team as required. The ideal candidate will thrive in a fast-paced work environment with changing priorities and will be responsible for the coordination and logistics of both internal and external meetings, offsite conferences, and external events, including catering and transport. A positive attitude and calm demeanor are essential when approaching new challenges and high-pressure situations.

Responsibilities

  • Manage and maintain executives' schedules, appointments, expense reports, and travel arrangements

Requirements

  • 3 years of experience as an Executive Assistant or related experience
  • Ability to follow complex instructions and resolve conflicts or facilitate conflict resolution
  • Strong organization and priority-setting skills
  • Ability to multi-task effectively
  • Fast learner capable of absorbing large amounts of technical and procedural information
  • Demonstrated effective verbal and written communication skills
  • Ability to perform a variety of physical activities including sitting, walking, kneeling, climbing, pulling, bending, lifting, carrying, and standing for extended periods
