About the position

The Senior Associate Director of Gifts Administration is responsible for supervising the Gifts Administration team and managing various aspects of gift processing, including gift agreements, fund administration, and pledge management. This role involves collaborating with the Development team, Institutional Advancement staff, and University Finance to ensure efficient and accurate handling of donations to the University.

Responsibilities

  • Supervise the Gifts Administration team and manage day-to-day operations of gift processing and administration.
  • Evaluate team capacity and processes to structure workflow and assignments efficiently.
  • Oversee the acceptance and processing of gifts and pledges, ensuring proper credit is received.
  • Manage pledge-related activities and maintain pledge data for reminders and forecasting.
  • Establish donor-centric workflows and processes within donor relations and stewardship.
  • Create and maintain all gift agreements and pledge forms, serving as the primary contact for Development Officers.
  • Revise policies and procedures related to gift processing operations and ensure compliance.
  • Maintain gift-related data and documentation, ensuring integrity through audits and corrections.
  • Monitor commitments and deferred gifts to facilitate realization of those gifts.
  • Act as a liaison between Institutional Advancement and campus partners regarding donor fund usage.
  • Perform monthly fund audits to ensure utilization of endowed funds.
  • Serve as the primary liaison with the Investment Office and external financial auditors.

Requirements

  • Bachelor's degree
  • Three to five years of relevant experience
  • Experience working with complex databases
  • Strong proficiency in MS Office Suite and Google Suite
  • Excellent organizational and communication skills
  • Strong analytical skills and ability to use data to support strategy.

  • Supervisory experience
  • Experience with Raiser's Edge or similar databases in a non-profit setting
  • Experience with fund accounting
  • Experience in a University setting
  • Knowledge of IRS laws governing charitable giving and CASE campaign guidelines
  • Ability to work well under pressure and manage multiple projects
  • Demonstrated initiative and ability to work independently and as part of a team.
