About the position

The Senior Buyer in Supply Chain Management at Health First is a pivotal role focused on delivering high-performing procurement services that align with the organization's commitment to quality, customer experience, and stewardship. This position is responsible for managing all aspects of the procurement process for assigned product and service categories, which includes requisition processing, placing purchase orders, confirming orders, resolving invoices, and expediting orders for various Health First business entities. The Senior Buyer will also provide decision support for evaluations involving multiple stakeholders, assisting designated Project Managers or Value Analysis Managers in identifying areas of consensus and updating supplier scores as necessary. This role serves as the senior lead in managing complex procurement functions, including standing purchase orders, blanket orders, and service-type purchase orders. In the realm of quality and safety, the Senior Buyer proactively collaborates with customers and suppliers to ensure timely ordering of the correct products or services for assigned categories. This involves working closely with customers to support the adoption of product formularies based on best clinical practices and adhering to established Health First policies and guidelines. The Senior Buyer is tasked with credentialing suppliers, maintaining product catalogs, and ensuring compliance with federal and state requirements, including FDA market clearance. The role also emphasizes stewardship, where the Senior Buyer conducts Requests for Information (RFIs), evaluates supplier responses, and maintains supplier scorecards while acting as a fiduciary agent for Health First to promote efficient resource utilization. Customer experience is a key focus, as the Senior Buyer is responsible for creating and managing complex purchase orders, expediting shipments to prevent operational disruptions, and training customers on supply chain programs. The position requires effective communication and engagement with associates, vendors, and leadership to enhance the procurement process and support ongoing organizational initiatives. The Senior Buyer will also be responsible for data entry support for complex purchase orders, resolving invoice match exceptions, and collaborating with the Accounts Payable team to maintain vendor setups. Overall, this role is integral to ensuring that Health First's procurement services meet the highest standards of quality and efficiency, ultimately contributing to improved patient care and operational effectiveness.

Responsibilities

  • Manage all aspects of the procurement process for assigned product and service categories.
  • Process requisitions, place purchase orders, and follow up on confirmations.
  • Resolve invoice discrepancies and expedite purchase orders as needed.
  • Provide decision support for evaluations involving multiple stakeholders.
  • Credential suppliers to ensure they meet Health First's requirements.
  • Develop and maintain product catalogs to simplify the requisitioning process.
  • Identify product substitutions for cost savings and to avoid supply shortages.
  • Conduct Requests for Information (RFIs) and evaluate supplier responses.
  • Create and manage complex purchase orders, including standing and blanket orders.
  • Train customers on supply chain programs and processes.
  • Communicate proactively with associates, vendors, and leadership.
  • Review back-order reports and prioritize order placement based on patient care impact.
  • Collaborate with Accounts Payable to maintain vendor setups and resolve invoice issues.

Requirements

  • Bachelor's Degree preferred or equivalent combination of education and experience (8 years) in relevant fields such as medical sales, procurement, or logistics management.
  • Certification in procurement, supply management, or project management is desirable.
  • Demonstrated analytical skills and proficiency in building and manipulating spreadsheets.
  • Proficient in Microsoft Office applications.
  • Experience with contemporary Enterprise Resource Planning (ERP) systems such as PeopleSoft or Lawson is desirable.
