About the position

The Event Planner at Stanford University's Residential & Dining Enterprises is responsible for planning and executing various university-related events, including seminars, conferences, and alumni gatherings. Responsibilities

  • Plan and execute events such as seminars, conferences, and alumni events.
  • Manage logistics including registration, attendee tracking, and materials support.
  • Procure and coordinate vendor services for events.
  • Provide on-site event support and ensure smooth operations during events.
  • Initiate and lead meetings with stakeholders to plan event scope and format.
  • Establish and monitor budgets for events, ensuring adherence to financial goals.
  • Oversee development of registration strategy and logistics for events.
  • Build and maintain relationships with internal and external partners.
  • Negotiate vendor contracts to minimize liability and risks.
  • Research and evaluate potential event locations and alternatives.
  • Investigate and document complaints regarding events, ensuring resolution of issues.
  • Inspect event facilities for maintenance and safety compliance.

Requirements

  • Bachelor's degree and three years of relevant experience or a combination of education and relevant experience.
  • Demonstrated success in managing event teams and developing budgets.
  • Excellent project management skills with the ability to manage complex timelines.
  • Strong interpersonal, communication, and customer service skills.
  • Well organized and detail-oriented with exceptional customer service abilities.
  • High level of confidence in making strategic decisions and problem-solving.
  • Knowledge of Microsoft Office suite, File Maker Pro, and cloud applications.
