About the position

The Senior Clerk Typist position is a vital role within the school administration, responsible for a variety of secretarial and clerical tasks that support the efficient operation of the office. The individual in this role will demonstrate excellent secretarial skills, including typing at least 50 words per minute with minimal errors, and will be proficient in using Microsoft Office Suite. The position requires effective communication skills, both orally and in writing, and the ability to maintain confidentiality in handling sensitive information. The Senior Clerk Typist will organize and maintain an efficient office environment, manage correspondence, and assist the Principal with various administrative tasks.

Responsibilities

  • Demonstrate excellent secretarial skills, including typing at least 50 words per minute with minimal errors.
  • Proficient in the use of Microsoft Office Suite (Excel, Word, Power Point).
  • Communicate effectively in English, both orally and in writing.
  • Maintain appropriate telephone etiquette.
  • Exhibit integrity, character, and initiative.
  • Relate well with students, staff, administration, parents, and the community.
  • Organize and maintain an efficient office handling various tasks.
  • Perform secretarial and clerical tasks requiring knowledge of school rules and regulations.
  • Distribute mail and handle office correspondence.
  • Ensure all communications meet proper English standards.
  • Act as a receptionist, greeting visitors and answering calls.
  • Register new students and maintain confidential student records.
  • Maintain attendance data for staff members and prepare reports.
  • Maintain a current school calendar of events.
  • Organize electronic and paper data collection and filing systems.
  • Assist in the preparation of reports and documents.
  • Order and maintain office supplies.
  • Supervise assigned secretarial and clerical assistants.
  • Create and maintain a clean and efficient office environment.
  • Recommend improvements in office procedures.
  • Assist in handling interruptions and emergencies.
  • Work cooperatively with staff on projects.
  • Attend required staff meetings and serve on committees.
  • Protect confidentiality of records and information.
  • Perform other duties as assigned.

Requirements

  • Prior experience as a secretary or clerk.
  • Massachusetts Civil Service certification.
  • High School Diploma; Associates or Bachelor's degree preferred.
