About the position

As a Senior Conference and Events Planner at McKinstry, you will play a pivotal role in managing the logistics for high-profile external meetings and events. This position is situated within the Enterprise Client Strategy division in Seattle, WA, where you will be responsible for the end-to-end planning and execution of various conferences and events that align with McKinstry's mission to innovate and create a sustainable future. Your role will involve developing detailed work plans that ensure effective internal coordination and a strong presence in the marketplace. You will be tasked with coordinating site logistics, negotiating contracts, and managing travel arrangements and accommodations for participants. Effective communication will be key, as you will manage registrations and provide onsite support when necessary. In addition to logistical management, you will oversee the arrangement of audiovisual equipment, coordinate food services, and ensure that all materials are produced in collaboration with the Enterprise Sales and Marketing team. You will also be responsible for managing conference program data and reporting, following up after events to ensure all logistical needs are met, and gathering feedback to improve future events. Your role will require you to maintain accountability for post-event tasks and manage the organization of conference data, utilizing tools such as Excel and Salesforce to track budgets and analytics of spending. This position is ideal for someone who is organized, dependable, and passionate about creating impactful events that contribute to McKinstry's vision of a thriving planet.

Responsibilities

  • Manage end-to-end logistics for multiple high-profile external meetings and events.
  • Coordinate site logistics, negotiate contracts, and handle travel arrangements and accommodations.
  • Communicate effectively with participants, manage registrations, and provide onsite support as needed.
  • Arrange AV equipment, oversee material production, and coordinate food service and other accommodations.
  • Manage conference program data and reporting.
  • Follow up after events to ensure all logistical needs are met and feedback is gathered.
  • Manage post-event accountability to drive the completion of takeaway assignments.
  • Act as the owner of conference data organization, utilizing Excel and Salesforce.
  • Intake enterprise conference budgets and collate analytics of spend.
  • Perform other duties as assigned.

Requirements

  • Bachelor's Degree or equivalent experience required.
  • Organized, dependable, and professional demeanor.
  • Passionate about helping others and enjoys interacting with people.
  • Ability to manage multiple projects and deadlines concurrently.
  • Proficient in Microsoft Teams, Excel, Word, PowerPoint, and Outlook.
  • Experience using Salesforce.
