About the position

The Senior Coordinator for Facilities & Operations plays a pivotal role within the Tate Student Center at the University of Georgia, directly reporting to the Assistant Director for Facilities & Operations. This leadership position is instrumental in driving the seamless functioning of operations across multiple key areas including the Tate Student Center, Memorial Hall, UGA Chapel, Legion Field, and Quarters A. With oversight of approximately 50 student staff members, including Information Desk Associates and Building Managers, this role is central to maintaining high standards of service, environment, and efficiency of Facilities & Operations. In this position, the Senior Coordinator will be responsible for coordinating the hiring, training, scheduling, supervision, and evaluation of student staff. This includes ensuring that the facility is properly staffed at all times during evening and weekend operating hours, providing ongoing training and supervision to enhance the professional and personal growth of all student staff members, and overseeing the maintenance and advancement of the established learning and training platform on ELC (eLearning Commons). The role also involves ensuring compliance with experiential learning credit requirements, facilitating a seamless integration of experiential learning into the student staff's roles and responsibilities. The Senior Coordinator will provide evening and weekend leadership for the Tate Student Center and Memorial Hall, conducting building inspections and serving as a liaison to the Facilities Management Division for maintenance and custodial concerns. This position requires strong verbal and written communication skills, the ability to inspire and lead by example, and a demonstrated capacity to work collaboratively with cross-functional teams and stakeholders. Additionally, the role includes maintaining organization of daily operational paperwork, coordinating inventory of student staff uniforms, and serving as on-site building supervisor during designated UGA home football games. Overall, this position is essential for ensuring that the facilities operate smoothly and efficiently, while also fostering a positive and engaging environment for both staff and students.

Responsibilities

  • Coordinate the hiring, training, scheduling, supervision, and evaluation of 50 student staff consisting of Building Managers and Information Desk Associates.
  • Ensure facility is properly staffed at all times during the evening and weekend operating hours.
  • Provide ongoing training and supervision to enhance the professional and personal growth of all student staff members under the Facilities and Operations purview.
  • Oversee the maintenance and advancement of our established learning and training platform on ELC (eLearning Commons).
  • Ensure compliance with experiential learning credit requirements, facilitating a seamless integration of experiential learning into the student staff's roles and responsibilities.
  • Create and manage detailed schedules that accommodate the availability of student staff while meeting operational needs.
  • Collaborate with other departments to ensure coordination and support for special events or peak times of necessary additional staffing.
  • Complete all payroll related duties during each week when a pay period ends and meet all deadlines specified by Human Resources.
  • Provide evening and weekend leadership for the Tate Student Center and Memorial Hall.
  • Conduct building inspections and serve as a liaison to the Facilities Management Division for maintenance and custodial concerns.
  • Resolve situations relating to facility access, reservations, and usage policies.
  • Work cooperatively with other staff members to plan, organize, and supervise activities, which includes distributing event schedules daily and actively engaging in weekly planning meetings.
  • Regularly inspect facilities to ensure they meet maintenance and safety standards, identifying any issues that need to be communicated with Facilities Maintenance Division.
  • Organize and communicate scheduled building repairs.
  • Contribute ideas, provide feedback, and engage in discussions to support collaborative decision-making and problem-solving as it pertains to facility access, reservations, and usage policies.
  • Maintain organization of daily operational paperwork and distribute to appropriate personnel as deemed necessary for the success of the department.
  • Coordinate and keep accurate running inventory/record of all student staff uniforms.
  • Serve on committees at the department, division, university, or community level to foster professional growth and development.
  • Maintain a clear and efficient filling and distribution system for all operational paperwork, both digital and physical; Collaborate with building occupants to understand their document and communication needs and adjust distribution processes accordingly.
  • Attend and actively participate in all professional staff meetings, training sessions, and departmental events.
  • Serve as on-site building supervisor and coordinator of designated UGA home football games.
  • Enforce compliance with all safety regulations, university policies, and event guidelines on game days; Oversee the setup of necessary equipment, signage, and any temporary structures or modifications necessary for game days.
  • Serve as Deputy Registrar, which is the primary contact for any questions, concerns, or request related to voter registration within the Tate Student Center.
  • Collaborate with the Athens Clarke County Voter Registration Office to ensure that all procedures related to voter registration align with legal requirements and best practices.
  • Disseminate forms to members of the university community, such as students, faculty, and staff.
  • Gather information on voter registration deadlines set by the state of Georgia and organize information into clear and accessible formats.
  • Responsible for the overall maintenance, supervision, and daily operations of the game room and billiard area in the Tate Student Center.
  • Assist in budget planning and purchasing of new equipment and supplies.
  • Perform routine maintenance on all equipment, including cleaning and minor repairs.
  • Monitor usage to ensure proper compliance with all usage policies.
  • Support the Assistant Director in the scheduling and facilitation of respective BEAP's for the Tate Student Center and Memorial Hall among full-time staff.
  • Ensure all student staff members of Facilities & Operations are properly trained on their roles during emergency procedures.
  • Assist in the maintenance and advancement of websites and materials related to the Building Emergency Action Plan(s) (BEAP).
  • Foster collaborative relationships with the Office of Emergency Preparedness and the University Police Department.
  • Regularly review recorded footage over multiple cameras within the Tate Student Center and Memorial Hall for suspicious after-hours behavior and communicate with relevant stakeholders to ensure safe and secure facilities.

Requirements

  • Requires technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate.
