About the position

The Senior Director's Assistant provides comprehensive administrative support to one or more Directors or Executives within the Electric Operations department at PG&E. This role is crucial for ensuring the smooth operation of executive functions, including managing schedules, coordinating travel, and preparing presentations and reports. The position requires a high level of professionalism and the ability to handle multiple tasks efficiently in a hybrid work environment.

Responsibilities

  • Audit/monitor for adherence to corporate travel guidelines.
  • Backup and support to other Executive Assistants as required.
  • Manage and prioritize calendar, arrange meetings and conference calls, and ensure meeting logistics are in place.
  • Handle all travel-related aspects for individuals and groups, including creating detailed itineraries.
  • Create, assemble, modify, proofread presentations, spreadsheets, and reports.
  • Manage data, metrics tracking, and reporting, including report creation and execution.
  • Prepare documents, reports, presentations, and meeting materials, and manage records and filing systems.
  • Handle HR-related administrative tasks, including time reporting and onboarding new employees.
  • Order and maintain inventory of office supplies and equipment.
  • Assist with processing invoices, purchase orders, and expense reports, and monitor department budgets.
  • Refer or delegate business issues or questions to others for resolution and track action items.
  • Compose, proofread, edit, and format written correspondence and assist with phone communications.

Requirements

  • High School or GED diploma.
  • 4 years of administrative experience.

Nice-to-haves

  • Associates Degree or equivalent experience.
  • 1 year of experience supporting director-level leaders or above.
  • Experience with advanced Microsoft Office applications including Access, Excel, OneNote, Outlook, PowerPoint, Publisher, SharePoint, and Word.
