About the position

Loews Hotels & Co is seeking a Senior Event Manager to join our team at Loews Ventana Canyon Resort, a premier luxury destination in Arizona. This role is pivotal in ensuring the seamless coordination and execution of large-scale, complex, and VIP meetings and events. As a Senior Event Manager, you will be responsible for overseeing all event details from the moment of assignment through to the final payment processing. Your expertise will be essential in partnering with various hotel operating departments to ensure that all group-related events, guest room stays, and additional activities are executed flawlessly, adhering to both client specifications and Loews Hotels standards. In this position, you will consistently strive to achieve an outstanding level of service, exceeding client expectations and contributing positively to the overall hotel operation. Your efforts will not only enhance the guest experience but also drive repeat business to both the property and the Loews Hotels brand. You will be an integral part of a team that values creativity, adaptability, and a solution-oriented approach to event management. As a Senior Event Manager, you will be expected to review all assigned group files, including contracts and addenda, ensuring accuracy and completeness. You will provide guidance and mentorship to junior members of the Meetings & Events team, fostering a collaborative and supportive environment. Your role will involve leading client correspondence, facilitating communication between clients and operational partners, and building strong client relationships through consistent and professional interactions. You will outline all details of convention events through the creation of Banquet Event Orders and other reports, ensuring timely information is communicated to hotel departments regarding set-up, purchasing, and scheduling needs. Additionally, you will partner with the group reservation desk and billing departments to manage all group reservation and payment needs effectively. Your analytical skills will be crucial in forecasting and reporting on group food and beverage spending, as well as overseeing group room block performance. This position requires a detail-oriented individual who can maintain a big-picture focus while managing multiple projects and deadlines. You will attend relevant hotel meetings and present information as appropriate, contributing to the overall success of the Meetings & Events department.

Responsibilities

  • Review all assigned group files including contracts and addenda for accuracy
  • Provide guidance and mentorship to junior Meetings & Events team members
  • Lead client correspondence including facilitating all client communication and introduction to operational and vendor partners
  • Build client relationships through maintenance of consistent, professional communication and support
  • Outline all details of convention events in the form of Banquet Event Orders and other reports to provide timely information to hotel departments regarding set-up, purchasing, and scheduling needs
  • Communicate all event details, deadlines, and key documents to clients, obtain approvals and ensure client understanding of event planning process
  • Partner with and advocate for group reservation desk and group credit and billing departments regarding receipt and input of all group reservation and payment needs
  • Prepare impactful group resumes containing all relevant event information needed for successful operational execution
  • Distribute accurate and thoroughly detailed Banquet Event Orders and group resumes by established deadlines to appropriate hotel departments
  • Determine event needs for pre-convention and other internal or guest facing planning meetings for all assigned groups, then coordinate and lead those meetings
  • Maintain accuracy of booking information in Delphi, including blocking of space, food & beverage function details, attachment of signed key event support documents
  • Accurately forecast and report out on group food and beverage spend
  • Oversee group room block performance, and report out on rooms utilization
  • Drive incremental banquet food and beverage and room rental revenue to achieve department budget goals
  • Attend all relevant hotel meetings and presents where appropriate, including department, staff, resume review, and banquet event order meetings
  • Other duties as assigned

Requirements

  • Minimum three years progressive Meeting and Event Management experience in a full-service hotel environment with proven results
  • Certified Meeting Planner Designation Preferred
  • Knowledge of hotel operational departments
  • Proficient in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)
  • Delphi and SocialTables experience preferred
  • Must be able to work a flexible schedule, including weekends and holidays, when needed
