About the position

LMI is seeking a Senior Event Planner/Outreach Coordinator for the DHSCWMD Operations Support Directorate (OSD) to engage with Federal, State, Local, Tribal, and Territorial (FSLTT) stakeholders. The successful candidate will demonstrate competency in planning and executing events and outreach activities in support of OSD leadership, showcasing attention to detail, critical thinking, and excellent coordination skills. This position requires the ability to obtain DHS Suitability and is based onsite at the client's location in Washington, DC. In light of the ongoing threats posed by transnational terrorism and the development of weapons of mass destruction (WMD) by potentially hostile nations, the Department of Homeland Security (DHS) has taken significant steps to integrate its capabilities to enhance the nation's ability to prevent the use of WMD by terrorists and other threat actors. The DHSCWMD OSD serves as the focal point for this effort, requiring advisory and assistance services to effectively operationalize CWMD by developing and enhancing the capabilities of DHS Components and FSLTT partners. LMI provides a range of advisory and assistance services, including program support, training and exercises, medical operations, information integration, requirements generation, and operational coordination to support the CWMD OSD. The Senior Event Planner/Outreach Coordinator will be responsible for planning and managing all aspects of in-person and virtual events, including conferences, workshops, and seminars, tailored to meet specific event objectives, requirements, and target audiences. This role involves maintaining a calendar of events, navigating the DHS event request and approval processes, collaborating with event sponsors to develop event formats and agendas, managing invitations and registrations, identifying event locations, liaising with vendors, overseeing vendor execution, and providing on-site support during events. Additionally, the coordinator will capture lessons learned, support organizational studies, and assist with graphic design needs, as well as manage senior leaders' travel arrangements.

Responsibilities

  • Plan and manage all aspects of in-person and virtual events including conferences, workshops, and seminars according to event objectives, requirements, and target audience.
  • Maintain a calendar of events for DHSCWMD OSD.
  • Work through DHS event request and approval processes.
  • Collaborate with event sponsors to develop event format and agenda and other associated event documentation (e.g., welcome packets, biographies of speakers).
  • Manage invitations for speakers, panelists, and participants, and track event registrations.
  • Identify event locations and manage vendors in accordance with DHS rules and regulations.
  • Liaise with vendors on facilities, food/beverage, and information technology.
  • Support oversight of vendors' execution of requirements and budget/funding.
  • Execute event promotional activities.
  • Provide on-site support before, during, and after events.
  • Support capturing lessons learned, best practices, and after-action reporting.
  • Assist in conducting organizational studies and evaluations as needed to operate more efficiently.
  • Support graphic designing needs.
  • Plan and manage senior leaders' travels.
  • Travel as required.

Requirements

  • Master's degree.
  • Minimum of 10 years of experience in related or similar work including large event planning.
  • Ability to obtain DHS Suitability.
  • Exemplary organization, time management, and communication (written and verbal) skills.
  • Ability to think critically and problem solve under pressure.
  • Outstanding attention to detail.
  • Excellent interpersonal and customer service skills.
  • Proficiency in Microsoft Office products including remote collaboration tools such as Microsoft Teams.

Nice-to-haves

  • Certified in exhibition management (CEM) preferred.
  • Knowledge of DHS event approval process and/or federal government event management experience preferred.
  • Experience in graphic designing preferred.
