About the position

The Senior Event Planner at the University of Georgia will be responsible for managing and executing a diverse portfolio of distinguished events for clients of the Georgia Center. This role encompasses comprehensive event management from inception through post-event evaluation, ensuring that each event aligns with the strategic objectives of the client while maintaining a consistent and professional standard. The Senior Event Planner will serve as the primary liaison between the client and the Georgia Center, ensuring seamless coordination and execution of all event-related activities. In this position, the Senior Event Planner will lead all aspects of event planning and execution, which includes programmatic planning, vendor coordination, registration, logistics, and on-site management. The planner will oversee the successful execution of specific high-profile events as required by the client, ensuring that all deliverables meet or exceed expectations. This role requires excellent communication and interpersonal skills, as the planner will maintain strong client relationships and ensure alignment with client objectives. Additionally, the Senior Event Planner will collaborate with clients to develop and refine branding guidelines that reflect the desired professional atmosphere for each event. They will ensure that all events meet the standardized look and feel established by the client, including consistent signage, room layouts, invitations, and table settings. The planner will also implement and maintain standardized processes for all event elements, ensuring a cohesive and professional presentation across all events. Furthermore, the Senior Event Planner will mentor and oversee a Hospitality and Food Industry Management (HFIM) intern each semester, providing guidance and support in event planning and execution, ensuring the intern gains valuable industry experience and contributes effectively to the event planning process.

Responsibilities

  • Lead all aspects of event planning and execution, including programmatic planning, vendor coordination, registration, logistics, and on-site management.
  • Oversee the successful execution of specific high-profile events as required by the client, ensuring that all deliverables meet or exceed expectations.
  • Serve as the primary liaison with the client, maintaining regular communication to align on event goals, expectations, and feedback.
  • Conduct regular progress meetings with the client to ensure that all events are on track and any necessary adjustments are made promptly.
  • Provide post-event reports and conduct debriefs to assess the success of each event and identify areas for improvement.
  • Collaborate with the client to develop and refine branding guidelines that reflect the desired professional atmosphere for each event.
  • Ensure that all events meet the standardized look and feel established by the client, including consistent signage, room layouts, invitations, and table settings.
  • Implement and maintain standardized processes for all event elements, ensuring a cohesive and professional presentation across all events.

Requirements

  • Requires at least a baccalaureate degree in the field.
  • A minimum of 5 years of experience in event planning, with a strong preference for experience in managing high-profile or academic events.

  • Demonstrated ability to manage multiple complex events simultaneously with a high degree of professionalism and attention to detail.
  • Excellent communication and interpersonal skills, with the ability to maintain strong client relationships and ensure alignment with client objectives.
  • Proficiency in event management software, CRM systems, and the Microsoft Office Suite.
  • Strong organizational skills and the ability to uphold branding and standardization requirements.
  • Flexibility to work non-standard hours, including mornings, evenings, and weekends, as required by event schedules.
