About the position

The Senior Event Planner at Crowned Grace International is responsible for organizing and executing significant events from conception to completion, ensuring alignment with strategic communications plans. This role requires an experienced planner with a Public Trust clearance, who can manage various event-related processes, activities, and strategies effectively.

Responsibilities

  • Assisting in site/market surveys for potential events
  • Gathering information to aid the government in evaluating and selecting hotel facilities
  • Managing hotel rooming lists
  • Assisting in the development and management of conference budgets
  • Building databases and forms
  • Designing and creating event materials, including attendee packages and evaluation forms
  • Assisting with vendor management
  • Interacting with client contracts
  • Coordinating and securing speakers and developing invitations in coordination with the Government PM
  • Providing online or onsite registration support and monitoring room activities
  • Coordinating guest speakers for government clients
  • Managing booth equipment, handouts, signage, and freight/shipping coordination
  • Maintaining a network of contacts in relevant fields
  • Providing event planning, design, and production
  • Managing project delivery elements within established time limits
  • Providing feedback and periodic reports to stakeholders
  • Proposing ideas to improve services and event quality
  • Communicating effectively with diverse audiences
  • Leading the development and coordination of meetings, educational conferences, seminars, and webinars
  • Assisting with day-to-day administration in support of the department
  • Administering meetings for onsite and virtual participation
  • Coordinating all event activities and personnel
  • Distributing meeting information and supplies to attendees
  • Calculating and proposing budgets for planned events
  • Researching and identifying successful event opportunities
  • Performing other duties as assigned.

Requirements

  • Possess an active Public Trust or higher clearance
  • 5+ years of relevant experience with CMP or CGMP certification
  • Earned the Certified Meeting Professional (CMP) or Certified Government Meeting Professional (CGMP) designation, or 7 years of experience as a conference/event planner with the federal government
  • Demonstrated competence in all aspects of meeting/event planning
  • Ability to plan, manage, and execute conferences and events effectively
  • Bachelor's degree in event management or related field preferred
  • Experience in providing logistical support for meetings of 10 - 1000 participants
  • Strong project management skills
  • Deadline and detail-oriented
  • Ability to work well in teams
