About the position

As a Senior Events and Marketing Coordinator at CBRE, you will play a pivotal role in enhancing the office experience through the planning and execution of various events. This position requires a curious and collaborative individual who is passionate about social engagement and culture. You will be responsible for delivering elevated experiences as a service leader in marketing, community relations, social media, and vendor relations. Your role will involve pre-event planning, budgeting, coordination, and execution of both internal and external events, ensuring that all aspects are meticulously managed to meet client goals. In this dynamic and fast-paced environment, you will identify new event partners and cultivate future opportunities while coordinating with existing partnerships. You will work closely with the management team and clients to create event budgets, maintain accurate records, and manage event spending to meet budget expectations. Your responsibilities will also include creating and delivering marketing materials that comply with client and company branding, customizing tenant communications, and maintaining the relevance of resources over time. On the day of events, you will oversee all activities, including problem-solving, welcoming guests, coordinating event set-up, and supporting attendee and speaker requests. You will collect and organize feedback to inform program performance indicators and be responsible for post-event reporting and bi-weekly client updates. Additionally, you will collaborate with clients and vendors to ensure a seamless experience for guests, including managing transportation, signage, and event security. Your role will also involve developing engaging social-first content and maintaining a community outreach program to enhance visibility and offerings to the greater community.

Responsibilities

  • Assist with pre-event planning, budgeting, coordination, and execution of internal/external events.
  • Identify new event partners and cultivate future opportunities.
  • Coordinate with existing partnerships to meet client goals.
  • Work closely with the Management team and client on event budget creation, ensuring timely delivery and approval.
  • Maintain accurate records and manage event spending to meet budget expectations.
  • Create, maintain, and deliver marketing materials, ensuring client and company brand compliance.
  • Customize tenant communications, advertisements, and resource guides to support event programming and execution.
  • Serve as the primary point of contact for all meetings and events.
  • Oversee events on the day of, including problem-solving, welcoming guests, and coordinating event set-up.
  • Collect and organize feedback to provide data informing program performance indicators.
  • Responsible for post-event reporting and bi-weekly client updates.
  • Work closely with clients, vendors, and team members to ensure all services are coordinated for guests.
  • Maintain outlines of space configurations, décor possibilities, and audio-visual requirements for each event space.
  • Manage a small inventory of event supplies such as furniture, linens, and audio-visual items.
  • Create event timelines and deliver to event stakeholders, ensuring deadlines are met with high quality.
  • Coordinate master meeting and events calendar for event space.
  • Communicate event schedules with all required partners and service providers.
  • Partner with the client in the development and curation of engaging social-first content.
  • Collaborate with clients and third-party PR firms in creating monthly social media content calendars.
  • Assist with the development, planning, and implementation of social media and influencer marketing campaigns.
  • Establish and maintain a community outreach program to enhance visibility to the greater community.
  • Actively engage with social communities on behalf of the brand.

Requirements

  • HS Diploma or GED required.
  • A minimum of 3+ years of prior work experience in event coordination, retail, restaurant, customer service, or other hospitality experience preferred.
  • Good understanding of project management, attention to detail, and ability to partner with various stakeholders.
  • Ability to comprehend and interpret instructions, short correspondence, and memos, and ask clarifying questions to ensure understanding.
  • Ability to write routine reports and correspondence.
  • Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisors.
  • Ability to effectively present information to an internal department and/or large groups of employees.
  • Comfortable meeting and engaging with new people with a warm and engaging demeanor.
  • Ability to assess circumstances, empathize, and offer help.
  • Utilize a high level of attention to detail as well as strong interpersonal skills.
  • Positive attitude and a strong sense of urgency in resolving any issues that may arise.
  • Intermediate knowledge of financial terms and principles.
  • Ability to calculate simple figures such as percentages.
