About the position

Zions Bancorporation is seeking two Senior Executive Assistants to support the growing Zions Capital Markets team, with one position based in Houston, TX, and the other in Charlotte, NC. The role involves providing experienced administrative support to the leadership and team members of Zions Capital Markets. The successful candidates will be responsible for executing accurate calendaring for multiple individuals, which requires comfort in managing schedules across four or more time zones. Additionally, the role includes arranging domestic travel, including flights, hotels, car rentals, and car services through Zions Corporate travel desk, as well as processing expense reports for multiple individuals using Concur, ensuring compliance with the Travel & Expense Policy. The Senior Executive Assistants will also fulfill office manager duties, which include collecting mail, greeting visitors, liaising with building security and parking for guests, ordering standard office supplies and beverages, arranging lunches for on-site meetings, and making dining reservations for off-site meetings. General administrative support is a key aspect of the role, which involves creating, maintaining, and editing Word documents, Excel spreadsheets, and PowerPoint presentations, as well as making and answering phone calls and writing professional email correspondences. Moreover, the role encompasses corporate event planning, including organizing meetings and meals around industry conferences, division offsites, client site visits, and other business development events. The Senior Executive Assistants will assist in processes specific to Business Enablement projects, which may include onboarding and general operations. They will also coordinate emergency evacuation procedures for the group based on location and handle ad-hoc assignments as requested.

Responsibilities

  • Provide experienced administrative support to Zions Capital Markets Leadership and team members.
  • Execute accurate calendaring for multiple individuals across 4+ time zones.
  • Arrange domestic travel including flights, hotels, car rentals, and car services.
  • Process expense reports for multiple individuals in Concur, ensuring compliance with the Travel & Expense Policy.
  • Fulfill office manager duties including collecting mail, greeting visitors, and liaising with building security.
  • Order standard office supplies and beverages, arrange lunches for on-site meetings, and make dining reservations for off-site meetings.
  • Provide general administrative support including creating and editing documents, spreadsheets, and presentations.
  • Plan corporate events including meetings and meals around industry conferences and client site visits.
  • Assist in Business Enablement projects including onboarding and general operations.
  • Coordinate emergency evacuation procedures for the group based on location.
  • Handle ad-hoc assignments as requested.

Requirements

  • Bachelor's degree in Business Administration, Finance, or a related field.
  • 8+ years of administrative, business, finance, or related experience.
  • Supervisory and project management skills preferred.
  • Experience supporting Capital Markets functions including investment banking and/or sales & trading businesses is strongly preferred.
  • Ability to understand, interpret, and execute policies and procedures as written.
  • Excellent written and verbal communication skills.
  • Ability to prioritize projects and strong problem-solving skills.
  • Good research skills and strong attention to detail.
  • Excellent customer service, relationship, organizational, analytical, and creative problem-solving skills.
  • Knowledge of Microsoft Office applications (Teams, Outlook, Word, Excel, SharePoint, PowerPoint), Concur, and ADP Workforce Dimensions.
