About the position

As the Senior Executive Administrative Assistant to the Chief Business Officer at Ipsen Bioscience, Inc., you will play a pivotal role in providing high-quality, comprehensive, accurate, and timely administrative support. This position entails full responsibility for all administrative and logistical functions, ensuring a professional interface, seamless communication, and optimal coordination of activities on behalf of the Chief Business Officer. You will act as a leader to a team of administrative professionals, guiding day-to-day operations to provide holistic support to the Global Partnering and Business Development organization. Your responsibilities will include arranging domestic and international travel for team members using company-approved travel vendors, which encompasses flights, trains, ground transport, and hotels. You will also prepare relevant documentation for the Chief Business Officer and coordinate real-time travel issues as they arise. Meticulous calendar management is essential, as you will be responsible for planning meetings, coordinating recurring events, and communicating with multiple parties to schedule large-scale internal and external meetings. In addition, you will organize conference registrations and membership renewals for professional organizations, coordinate large meetings and events both on and off-site in collaboration with administrative staff from other locations, and prepare and manage various documents, including agreements, memos, correspondence, and presentation materials. Following up on actionable items from meetings, producing minutes, and ensuring timely distribution of relevant documents will also be part of your duties. You may be assigned additional projects to achieve overall business objectives, making this role dynamic and integral to the success of the organization.

Responsibilities

  • Act as a leader to a team of administrative professional peers in day-to-day operations to provide holistic support to the Global Partnering / Business Development organization
  • Arrange domestic and international travel for team members, including flights, trains, ground transport, hotels, etc.
  • Prepare relevant documentation for the Chief Business Officer and coordinate real-time travel issues as they arise
  • Maintain the calendar of the Chief Business Officer, including planning meetings and coordinating recurring events
  • Organize conference registrations and membership renewals for professional organizations
  • Coordinate large meetings and events, both on and off-site, in collaboration with administrative staff from other locations
  • Prepare and manage documents, drafting, editing, and proofing various types of documents
  • Follow up on actionable items from meetings, producing minutes and ensuring timely distribution of relevant documents
  • Perform additional duties and assigned projects to achieve overall business objectives

Requirements

  • High School Diploma or equivalent is required; B.A./B.S. or equivalent is preferred
  • Proven experience as an Executive Assistant within a similar industry sector, e.g. pharmaceutical or international business
  • Prior experience working with remote, international teams in a globally matrixed organization
  • Demonstrated experience managing multiple and complex international travel arrangements
  • Background of working in an international business functional area
  • Proficiency in Microsoft Office (Word, Outlook, Excel, and PowerPoint)
  • Knowledge of teleconference equipment (Microsoft Teams) or other related software
  • Strong attention to detail, excellent communication skills, and strong interpersonal skills
  • Demonstrated experience managing multiple and complex travel arrangements
  • Experience with Concur is preferred
  • Ability to see the big picture while keeping an eye on the detail
  • Ability to represent the company and the site VP in a highly professional manner
  • Ability to take initiative with a positive attitude in all circumstances
  • Flexible; independent problem solving and self-direction
