About the position

The Senior Executive Administrative Assistant provides high-level administrative support to an executive-level manager within the Chancellor's Office. This role involves managing complex and sensitive tasks, acting as a liaison between the executive and various stakeholders, and ensuring efficient office operations. The assistant is expected to exercise discretion, judgment, and initiative while relieving the executive of various administrative duties, and may also supervise clerical personnel.

Responsibilities

  • Serve as senior executive administrative assistant to an executive-level manager.
  • Assist in the administration of the executive's office, providing relief from technical and administrative duties.
  • Act as a liaison between the executive and the public, students, staff, and other officials.
  • Assist the executive in meeting reporting requirements and organizing programs and activities.
  • Screen office and telephone callers, responding to sensitive questions and requests for information.
  • Plan and organize office support functions for the executive's office.
  • Develop procedures to expedite information transmittal and facilitate policy implementation.
  • Utilize technology to maintain calendars, schedules, and appointments.
  • Collect, research, compile, analyze, and summarize information for reports and recommendations.
  • Coordinate and oversee specialized functions or projects independently as assigned.
  • Compile and coordinate submission of board agenda items and supporting documentation.
  • Assist in the preparation and administration of program budgets.
  • Provide staff support to committees and other groups as assigned.
  • Take and transcribe dictation of sensitive materials and prepare correspondence and reports.
  • Establish and maintain complex filing systems, including confidential files.

Requirements

  • Bachelor's Degree in business administration, office management, research and writing, or related field.
  • Six years of increasingly responsible secretarial experience with high public contact and executive support.

Nice-to-haves

  • Two years of experience supporting committees or high-level meetings.
  • Two years of experience processing purchase requisitions/orders.
  • Advanced proficiency in Office 365, PowerPoint, Word, and Excel.
  • Two years of experience in event planning/coordination.
