About the position

The Senior Executive Assistant II at GEICO plays a crucial role in providing high-level executive support to the Auto Lines business head and their direct reports. This position requires a proactive individual who can manage multiple projects in a fast-paced environment while maintaining professionalism and attention to detail. The role involves calendar management, travel coordination, meeting logistics, and collaboration with various teams to ensure smooth operations within the Auto Lines leadership team.

Responsibilities

  • Provide day-to-day executive support to the Auto Lines business head and her direct reports.
  • Field inquiries and determine the level of priority while handling sensitive information with caution.
  • Drive proactive calendar management, anticipating needs and addressing conflicts.
  • Arrange and confirm meetings, manage meeting materials, and follow up as needed.
  • Manage regular meeting agendas, coordinating inputs and finalizing distribution with executives.
  • Coordinate complex domestic travel including flights, hotels, and transportation logistics.
  • Lead coordination and logistics for internal and external meetings, offsite conferences, and events.
  • Support key events, providing off-hours support as needed.
  • Handle regular activities without prompting and provide timely notice of issues or delays.
  • Assist in editing spreadsheets, presentations, and documents.
  • Initiate improvements and consistently drive optimal service.
  • Work closely with cross-functional teams on ad-hoc projects and initiatives, leading projects as requested.
  • Cooperate with other administrative assistants to back each other up and assist with office management responsibilities.

Requirements

  • 5-7+ years of experience as an Executive Assistant/Senior Administrative Assistant or equivalent experience and education.
  • Strong collaborative skills, analytical skills, and great attention to detail.
  • Strong organizational, written, and verbal communication skills.
  • High personal integrity, with the ability to handle highly confidential and sensitive information discreetly.
  • Proficient in Microsoft Office Products.
  • Ability to work effectively with various departments and personalities, developing positive working relationships.

Nice-to-haves

  • Bachelor's degree and experience with project management, Excel, and PowerPoint.
  • Experience at a professional services firm, such as legal, insurance, or financial services.
