The successful candidate will be responsible for a variety of administrative tasks, including email and calendar management, appointment scheduling, travel booking, and conducting internet research. Strong writing and editing skills are essential, as the role involves drafting letters, proofreading documents, and creating reports. The candidate must be exceptionally organized, reliable, and capable of handling sensitive information with discretion. In this role, the Senior Executive Assistant will be expected to answer calls, check voicemail, manage email correspondence, and schedule meetings while preparing necessary materials. The assistant will also track projects and follow up with senior staff members as needed. Travel arrangements will be a significant part of the job, requiring the assistant to book and organize travel while maintaining a tracking spreadsheet. The position also involves maintaining both physical and digital filing systems, creating and submitting expense reports, and performing various administrative tasks as assigned. The candidate will need to demonstrate strong organizational skills and the ability to prioritize multiple projects seamlessly, ensuring that all tasks are completed with excellent attention to detail.

Responsibilities

  • Answering calls and checking voicemail
  • Managing email, calendar, and contacts
  • Scheduling calls and meetings and preparing materials as needed
  • Tracking email correspondence and projects as directed and following up with senior staff members as needed
  • Booking and organizing travel and maintaining a tracking spreadsheet
  • Performing various administrative tasks such as filing, emailing, drafting letters, proofreading, scanning, and creating Word documents and Excel spreadsheets
  • Creating and submitting expense reports
  • Maintaining filing system, both physical and digital
  • Handling special projects and other tasks as assigned

Requirements

  • At least five years of relevant office work experience
  • Strong organizational skills and the ability to perform and prioritize multiple projects and tasks seamlessly with excellent attention to detail
  • Excellent writing and verbal communication skills
  • Positive, flexible attitude
  • Ability to handle sensitive and confidential information with discretion
  • Ability to work independently and within a team across the organization
  • Intermediate to Advanced working knowledge of Microsoft Office
