About the position

As the Senior Executive Assistant to the Head of Wealth Management at Citizens Bank, you will play a crucial role in supporting the leadership team with a variety of advanced administrative duties. This position requires a high level of discretion and professionalism, as you will be handling confidential projects and communications. You will be responsible for managing all incoming correspondence, phone calls, and other communications, ensuring that priorities are determined and responded to quickly and professionally. Your role will also involve overseeing the coordination and completion of all administrative functions, including expense tracking, procurement, travel coordination, and maintaining databases for efficient access to information, all in compliance with Citizens' policies and procedures. In addition to these responsibilities, you will partner with the strategic communications team to coordinate and schedule market visits and other events, both internally and externally. You will serve as the primary point of contact between executives and internal/external stakeholders, managing communications and inquiries effectively. It is essential to understand and adhere to all Citizens guidelines regarding ethics, compliance, customer, colleague, and bank safety. You will continuously seek to improve office processes, whether through self-initiated efforts or as part of organization-wide improvements. Your role will also involve supporting the organization and prioritization of calendars, particularly in relation to heavy meeting scheduling and travel coordination, as well as resolving conflicts related to competing priorities. You will provide support during team meetings, including agenda preparation, minute-taking, and follow-up on action items. Additionally, you will assist with the onboarding of new Wealth Leadership Team (WLT) members and coordinate team training or development sessions. Special projects, events, and team meetings will also fall under your purview, making this a dynamic and multifaceted position.

Responsibilities

  • Represent Citizens Bank and the Head of Wealth Management division with the highest degree of professionalism and integrity.
  • Make decisions that support the priorities of the organization, while anticipating the needs of the Wealth Leadership team.
  • Manage all incoming correspondence, phone calls and other communications; determining priority and responding quickly and professionally.
  • Oversee coordination and completion of all administrative functions (expense tracking, procurement, travel coordination, filing, maintenance of databases for efficient access to information) in compliance with Citizens policies and procedures.
  • Partner with the strategic communications team; coordinate and schedule market visits and other events, both internally and externally.
  • Serve as point of contact between executives and internal/external stakeholders; managing communications and inquiries.
  • Understand and adhere to all Citizens guidelines regarding ethics, compliance, customer, colleague, and bank safety.
  • Continuously improve office processes, be it self-initiated or part of organization-wide improvements.

Requirements

  • Senior administrative experience of 5+ years required.
  • Financial Institution experience a plus.
  • Ability to work with limited supervision, independent in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Adaptable nature to support quick changing situations and priorities.
  • Must have strong organizational, communication and planning skills.
  • Good problem resolution skills.
  • Demonstrated ability to manage multiple competing priorities simultaneously, prioritizing work as appropriate.
  • Strong attention to detail and the ability to multi-task.
  • Support individuals locally and remotely.
  • Ability to meet deadlines in a fast-paced environment.
  • Must be extremely proficient in MS Office skills - Outlook, Teams, Word, Excel, and PowerPoint. Experience in Access preferred.
  • Must be based in NYC, with willingness to travel as needed.
  • Flexibility to occasionally work outside of regular business hours, as needed.
  • Proactive attitude and commitment to continuous improvement and learning.
