About the position

The Senior Executive Assistant at the Colorado BioScience Association (CBSA) plays a crucial role in supporting multiple leaders in a fast-paced environment. This position involves managing complex calendars, coordinating communications, arranging travel, preparing meeting materials, and handling various administrative tasks. The role requires exceptional organizational skills, strong communication abilities, and the capacity to prioritize multiple demands while maintaining confidentiality and discretion. The Senior Executive Assistant will also support special projects and strategic initiatives, ensuring seamless workflow and effective collaboration with internal and external stakeholders.

Responsibilities

  • Manage complex calendars for multiple executives, scheduling meetings to maximize efficiency and avoid conflicts.
  • Prepare meeting agendas, distribute materials, take minutes, and follow up on action items.
  • Support the President & CEO in communicating with the Board of Directors and coordinating meeting logistics.
  • Arrange domestic and international travel, including booking flights and accommodations.
  • Draft, review, and edit professional communications and documents for executives.
  • Support preparation for executive speaking engagements and provide in-person support at events.
  • Manage administrative projects, track deadlines, and follow up on progress.
  • Act as a primary point of contact for internal and external stakeholders, building strong relationships.
  • Anticipate executive needs and proactively provide solutions to ensure seamless workflow.
  • Handle expense reports and other administrative tasks as needed.
  • Support the execution of special projects and initiatives aligned with the organization's strategic plan.
  • Maintain strict confidentiality regarding sensitive information.

Requirements

  • At least 3 years of experience as an Executive Assistant, preferably in a professional association or life sciences organization.
  • Exceptional organizational skills to manage competing demands and prioritize effectively.
  • Strong written and verbal communication skills to interact with diverse individuals.
  • Advanced proficiency in Microsoft Office Suite and video conferencing tools.
  • Ability to anticipate needs and proactively address potential issues.
  • Meticulous attention to detail to ensure accuracy in tasks.
  • Commitment to maintaining confidentiality regarding sensitive information.
  • Adaptability to changing priorities and willingness to work flexible hours.

Nice-to-haves

  • Proficiency with project management software and Board management software.
