About the position

The Senior Executive Assistant at Trinity will provide essential administrative and project support to the Senior Leadership team. This role involves managing calendars, travel arrangements, expense reports, and organizing meetings and workshops. The ideal candidate will demonstrate strong time management, logistics planning, and organizational skills, while also being proactive in supporting business initiatives and collaborating with various teams.

Responsibilities

  • Proactively manage calendars and prioritize meetings, resolving conflicts as necessary.
  • Schedule and coordinate weekly and ad hoc meetings, ensuring effective communication of details.
  • Handle all aspects of travel arrangements, including frequent revisions for both international and domestic travel.
  • Manage business expenses for executives, ensuring timely and accurate processing after trips.
  • Perform additional duties as assigned by Senior Leaders in a high-paced environment.
  • Support in organizing large workshops and meetings from conception to execution in collaboration with internal groups.
  • Serve as a backup for other Executive Assistants when they are unavailable.
  • Supervise Administrative Assistants or Executive Assistants within the Leaders Business Unit.
  • Prepare presentations, agendas, reports, and other documents aligned with business needs.
  • Propose agendas for recurring meetings and ensure appropriate follow-up occurs.
  • Provide project support for business development initiatives and internal initiatives.
  • Participate in internal team meetings as an embedded member of each Leader's team.
  • Assist with monthly administrative tasks, including maintaining distribution lists and updating internal organization charts.

Requirements

  • Bachelor's degree
  • 6+ years of experience supporting high-level executives
  • Proven advanced expertise in Microsoft Office applications (Word, PowerPoint, Excel, Outlook)
  • Exceptional written and verbal communication skills
  • Ability to multi-task on complex projects and assignments
  • Solid judgment and discretion regarding sensitive information
  • Self-motivated with a strong initiative and team-oriented mindset
  • Analytical with intellectual curiosity.
