In this role, the Senior Executive Assistant will assist executives by relieving them of designated administrative details. This includes managing incoming calls, sorting and responding to correspondence, and preparing various documents such as letters, memoranda, statistical reports, and summaries. The assistant will coordinate meetings, manage facility logistics, prepare presentations, distribute materials, and take minutes during meetings. Additionally, maintaining daily appointment calendars and making travel arrangements are key responsibilities. The position may also involve supervising the work of clerical staff, helping to plan and revise work assignments, and addressing employee issues as they arise. The Senior Executive Assistant will coordinate major meetings, including those with the Board of Directors and executive staff, ensuring that all materials are prepared within appropriate timeframes and meet the required standards. The role also includes monitoring the department's administrative budget and completing special projects in a timely manner. Overall, this position is integral to the smooth operation of the executive team and requires a proactive approach to managing tasks and responsibilities.

Responsibilities

  • Perform administrative and advanced secretarial duties for assigned executive(s).
  • Prioritize and handle heavy work volume and routine matters to minimize interruptions.
  • Handle work on behalf of the Board of Directors and related projects.
  • Maintain a high level of confidentiality with assigned work.
  • Assist executives and relieve them of designated administrative details.
  • Receive telephone calls, make transfers, and take messages.
  • Screen, sort, dispose of, and reply to incoming correspondence.
  • Prepare letters, memoranda, statistical reports, summaries, and other materials through verbal dictation or other sources of data.
  • Coordinate meetings, facility logistics, prepare presentations, distribute materials, and take minutes.
  • Maintain daily appointment calendars and make travel and lodging arrangements as required.
  • Supervise and coordinate the activities of at least two or more clerical staff support staff.
  • Plan, establish, and revise work assignments for clerical staff.
  • Coordinate major meetings with the Board of Directors and executive staff.
  • Prepare and monitor the department administrative budget.
  • Complete special projects in a timely manner.

Requirements

  • Associate's Degree or 2 years' work related experience required.
  • 5 years experience in the field required.
