About the position

The Senior Executive Assistant at World Savvy plays a crucial role in supporting the Executive Leadership Team, including the CEO and other senior executives, in advancing the organization's mission of educating and engaging youth as responsible global citizens. This position is responsible for ensuring efficient administrative systems are in place, managing complex scheduling, and maintaining productive relationships with key stakeholders, including the Board of Directors. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to anticipate the needs of the Executive Leadership Team.

Responsibilities

  • Act as the point of contact between the CEO, CGO, CPO, and COO and internal or external colleagues and partners.
  • Read, organize, and prioritize the CEO's email inbox; maintain a high level of service and utmost discretion.
  • Handle complex scheduling and calendar coordination for the Executive Leadership Team.
  • Communicate and coordinate meeting logistics for various meeting types, including Board meetings.
  • Track action items assigned to executives and hold teammates accountable for completion.
  • Manage travel arrangements for the Executive Leadership Team, including last-minute changes.
  • Assist the CEO in monitoring and researching current events related to World Savvy's mission.
  • Complete monthly reconciliation of Executive Leadership Team credit cards and reimbursements.
  • Manage sensitive and highly confidential information with discretion.
  • Assist in developing and formatting Executive Leadership Team PowerPoint presentations.
  • Manage data entry for the Executive Leadership Team into the CRM system, Salesforce.
  • Manage long-term and short-term special projects as assigned.
  • Provide support to the Board of Directors, including scheduling and preparing for meetings.
  • Lead the development of Board meeting packets and assist in recruitment and onboarding of new board members.
  • Maintain accurate Board records and assist board members with special projects.
  • Provide excellent customer service to internal and external stakeholders.

Requirements

  • High school diploma or equivalent; Bachelor's degree preferred.
  • At least 7 years of experience supporting senior-level executive leadership.
  • Excellent skills in utilizing technology to facilitate administrative functions.
  • A valid driver's license and access to reliable transportation.
  • Advanced knowledge of G-Suite, Zoom, Microsoft Office suite, Adobe Acrobat Pro, and database systems (Salesforce preferred).
  • Superb analytical, organizational, negotiation, and problem-solving skills.
  • Exceptional critical thinking and ability to handle confidential information with tact.
  • Ability to manage highly detailed work with speed and accuracy under pressure.
  • Ability to work within an ambiguous, fast-moving environment.
  • Positive attitude and ability to work well with diverse backgrounds.
  • Excellent oral and written communication skills, interpersonal skills, and presentation skills.

Nice-to-haves

  • Experience with Asana or similar project management tools.
  • Familiarity with nonprofit organizations and their operations.
