As a Senior Executive Assistant, you will play a crucial role in supporting our CEO, ensuring that the executive office operates smoothly and efficiently. You will be responsible for managing the CEO's calendar, scheduling meetings, and handling travel arrangements, all while maintaining a welcoming and professional office environment. In this role, you will coordinate meetings by preparing agendas and arranging logistics, ensuring that all necessary materials are accurate and up to date. You will also manage confidential documents and sensitive data, such as financial records and strategic reports, demonstrating your ability to handle high-stakes information with care. Additionally, you will support various projects and initiatives within the office of the CEO, contributing to operational efficiency and enhancing the overall effectiveness of the executive team. Your responsibilities will extend to overseeing day-to-day office operations, managing supplies, and coordinating with vendors. As the gatekeeper for the CEO, you will use your judgment and communication skills to manage requests and inquiries from both internal and external stakeholders. You will also track and reconcile monthly expenses for the CEO, ensuring that all financial records are accurate and up to date. Responsibilities

  • Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, and handling travel arrangements.
  • Organize and coordinate meetings, including preparing agendas and arranging logistics on behalf of the CEO.
  • Maintain and organize confidential documents and records, ensuring all materials are accurate and up to date.
  • Support and manage various projects and initiatives within the office of the CEO, including client events and internal processes.
  • Oversee day-to-day office operations, including managing supplies and coordinating with vendors.
  • Act as a gatekeeper for the CEO, using good judgment and tone when managing requests and inquiries internally and externally.
  • Track and reconcile monthly expenses for the CEO.

Requirements

  • Proven experience as an Executive Assistant or in a similar role, preferably within a financial or client-focused environment.
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with other senior executives and clients.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to manage multiple tasks simultaneously and handle high-pressure situations with a calm demeanor.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Experience managing an executive's calendar and travel arrangements.
  • Experience supporting a high-level executive, managing complex schedules and communications.
  • Flexibility to work outside standard business hours if needed.
