About the position

Softtek Government Solutions is seeking a highly experienced Senior Executive Assistant to provide essential administrative support to the Office of Administration for Strategic Preparedness and Response (ASPR). This role is critical in supporting the ASPR mission of public health preparedness and emergency response, which encompasses a wide range of program and functional mission areas. The ASPR, established under the 2006 Pandemic and All Hazards Preparedness Act, plays a pivotal role in leading the nation’s efforts to prevent, prepare for, and respond to public health emergencies and disasters. The office serves as the principal adviser to the Secretary of Health and Human Services, coordinating integrated policy and strategic direction on matters related to public health and medical preparedness. The Senior Executive Assistant will be responsible for managing the executive's calendar, organizing travel logistics, and ensuring effective communication within the office. This position requires a proactive individual who can handle multiple tasks efficiently and maintain a high level of professionalism. The role also involves coordinating special projects, preparing executive correspondence, and providing comprehensive meeting support, including taking notes and tracking action items. The ideal candidate will have a strong background in executive administration, with the ability to navigate complex organizational structures and contribute to the ASPR's mission effectively. In addition to administrative duties, the Senior Executive Assistant will play a key role in editing and updating important documents, such as white papers and management directives, ensuring that all communications are clear and professional. This position is integral to the operational responsibilities of the ASPR, which include advanced research and development of medical countermeasures and coordination of federal public health responses to emergencies.

Responsibilities

  • Provide high level executive administrative support
  • Schedule and monitor the staff calendars; answer telephones, route calls, and take messages
  • Prepare and manage executive travel logistics
  • Organize files and other written communications
  • Coordinate activities with direct reports and other staff
  • Take meeting notes and prepare correspondence for signature
  • Make travel arrangements & prepare travel vouchers
  • Coordinate special projects such as white papers, reports, and briefings
  • Edit and update documents such as white papers, reports, staffing/hiring, management directives and policy
  • Provide meeting notes/minutes, action items and schedules of activities for personnel and groups
  • Review and write executive correspondence and documents

Requirements

  • Minimum Bachelors, or other 4 year degree
  • 5-10 years minimum professional experience
  • Ability to obtain a public trust clearance
