About the position

The Senior Executive Assistant at Cox Communications will support the Executive Vice President of the Digital Information Office by managing a variety of administrative tasks. This role is crucial for ensuring seamless operations within the executive team, including calendar management, meeting coordination, and project support. The position requires a high level of confidentiality and the ability to handle multiple priorities in a fast-paced environment.

Responsibilities

  • Interacts daily with senior leaders and their teams.
  • Coordinates Leadership Staff Meetings and all department meetings, including securing venues, audiovisual needs, transportation, and catering.
  • Manages a complex, changing calendar using MS Outlook, scheduling and prioritizing meetings and resources.
  • Arranges travel and coordinates agendas with regional staff when required.
  • Analyzes, writes, and summarizes data from multiple sources, developing letters, memoranda, and reports.
  • Prepares presentations and documents using MS Word, Excel, and PowerPoint.
  • Directs inquiries to appropriate team members and prioritizes engagement.
  • Maintains confidential information and secure access to company information.
  • Takes and prepares notes of meetings and conferences, providing administrative support as directed.
  • Sorts and distributes mail and packages to appropriate parties.
  • Greets and assists visitors, arranging for escorts as necessary.
  • Tracks and processes expense reports and invoices.
  • Gathers and arranges materials for assigned projects or individuals.
  • Codes, compiles, and files correspondences and documents according to an established system.
  • Serves as a lead among other Executive Assistants.

Requirements

  • High School Diploma/GED and eight (8) years' experience OR any advanced degree with six (6) years' experience OR ten (10) years' experience with no degree.
  • Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint.
  • Ability to be in the office five (5) days a week.
  • Proven experience maintaining the highest level of confidentiality.
  • Demonstrated ability to manage multiple projects and priorities in a fast-paced environment.
  • Exceptional detail orientation and organizational skills.
  • Demonstrated proficient communication skills (written, verbal, and presentation).
  • Proven ability to prioritize and work independently while collaborating with cross-functional groups.
