About the position

We are seeking a highly organized and proactive Senior Executive Assistant to support our executive team. This role is essential in ensuring the smooth operation of daily activities and requires a blend of administrative expertise, strong communication skills, and the ability to manage multiple tasks efficiently. The ideal candidate will thrive in a fast-paced environment and possess a keen attention to detail.

Responsibilities

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Organize and coordinate events, ensuring all logistics are handled seamlessly.
  • Prepare and edit correspondence, reports, and presentations using Google Suite.
  • Maintain accurate records and files, utilizing DocuSign for document management.
  • Handle clerical tasks such as data entry, filing, and maintaining office supplies.
  • Provide exceptional phone etiquette while managing incoming calls and inquiries.
  • Assist with QuickBooks for basic financial tracking and reporting as needed.
  • Act as a personal assistant to executives by anticipating needs and providing support in various capacities.
  • Utilize phone systems effectively to ensure smooth communication within the organization.

Requirements

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Proficiency in Google Suite applications (Docs, Sheets, Calendar) is required.
  • Familiarity with DocuSign for electronic document management is preferred.
  • Strong clerical skills with an emphasis on accuracy and attention to detail.
  • Excellent phone etiquette with the ability to communicate professionally at all levels.
  • Experience with event planning is a plus.
  • Knowledge of QuickBooks or similar accounting software is advantageous.
  • Demonstrated ability to manage multiple priorities effectively while maintaining composure under pressure.
