About the position

Peloton is seeking a Senior Executive Assistant in the Global Marketing department. This role is designed for a diligent and smart communicator who thrives in a fast-paced environment. The ideal candidate will be resourceful, creative, and possess strong problem-solving skills, along with a can-do attitude and a desire to learn and grow. The position is based in New York City and requires the individual to be a trusted partner capable of exercising good judgment in a variety of situations. Strong written and verbal communication, administrative, and organizational skills are essential, as is the ability to maintain balance among multiple priorities. In this role, the Senior Executive Assistant will manage the calendars of three executives with a high level of detail, employing a collaborative process to eliminate conflicts and prioritize critical engagements. Responsibilities include coordinating internal and external meetings for multiple executives and their teams, preparing daily and weekly schedule briefs, and communicating with internal team members and external partners on behalf of the executives. The assistant will also organize and schedule meetings and appointments, including booking conference room spaces, ordering catering, coordinating agendas, preparing materials, ensuring the availability of attendees, and greeting visitors as needed. Additionally, the role involves coordinating both domestic and international travel arrangements, ensuring tight schedules and well-articulated itineraries. The Senior Executive Assistant will prepare expense reports, vendor invoicing paperwork, and purchase requisitions, including monthly expense reconciliation and on-demand expense reports. Anticipating and addressing communication and efficiency issues before they become problems is crucial, as is handling personal requests from executives on a limited basis. The assistant will also perform general office duties as needed and work closely with other Administrative Business Partners (ABPs) and Executive Assistants (EAs) to optimize support functions and processes, ensuring coverage and support at all times.

Responsibilities

Requirements

  • 5+ years of work experience in a similar role.
  • Ability to have a flexible and adaptable schedule.
  • Strong business sense, can decipher priorities and make sound judgment calls when needed.
  • Strong written and verbal communication skills.
  • Diligent, self-starter who uses emotional and cultural intelligence to intuit needs and can comfortably set boundaries to protect executives' time and priorities.
  • Experience prioritizing multiple projects.
  • Ability to function well in a dynamic environment and adapt quickly to changing situations.
  • Must be highly competent with a range of modern communication tools (Zoom, Slack, etc.).
  • Handles confidential information and documents with discretion.
  • Bring a can-do, positive attitude to the team.
  • Consistently meet deadlines and communicate status updates to your executives.
  • Proficiency in Google G Suite tools (Gmail, Docs, Sheets, Slides, etc.).
  • Contribute to written materials, including development of visual presentations.
