About the position

The Senior Executive Assistant plays a crucial role in providing comprehensive administrative support to a department, requiring specialized knowledge and operational skills. This position involves overseeing various support activities, participating in operational planning, and coordinating the development and administration of departmental policies and procedures. The role includes composing documents, serving as a liaison with internal and external stakeholders, and supervising administrative staff.

Responsibilities

  • Provide oversight for a diverse range of support activities for the department.
  • Participate in operational planning and coordinate the development of departmental policies and procedures.
  • Compose and assist in the development of manuals, grant proposals, and similar documents.
  • Serve as an administrative liaison with internal departments and outside agencies.
  • Train, supervise, and evaluate administrative staff engaged in various support activities.
  • Monitor and order inventory, establish supply budgets, and authorize purchases.
  • Schedule complex appointments, meetings, and travel arrangements, and record meeting minutes.
  • Draft, monitor, and reconcile budgets, investigating discrepancies and maintaining personnel commitments.
  • Plan and coordinate high-profile events, including developing invitations and guest lists.
  • Perform other related duties as required.

Requirements

  • Associate degree required; Bachelor's degree strongly preferred.
  • At least seven years of general administrative support or related experience required.
  • Three years of experience at the executive/office management level required.
  • Two years of direct supervisory or lead experience required.
  • Experience in a higher education setting preferred.
  • Advanced PowerPoint skills and varied computer software skills required.
  • Excellent interpersonal and communication skills.
