About the position

The Senior Executive Assistant at Harvard T.H. Chan School of Public Health plays a crucial role in supporting the dean of the faculty by managing their calendar, communications, and travel arrangements. This position requires a proactive and organized individual who can handle sensitive information and competing demands in a fast-paced environment. The Senior EA will also contribute to establishing new workflows and supporting the priorities of the dean and the Dean's Office, ensuring smooth operations and effective communication within the team.

Responsibilities

  • Serve as the administrative point of contact for the dean, managing calls and emails, and creating a welcoming environment.
  • Proactively manage the dean's calendar, resolving scheduling conflicts and communicating updates to stakeholders.
  • Arrange domestic and international travel, including flights, hotels, and itineraries.
  • Draft, edit, and proof correspondence, maintaining archival records.
  • Reconcile the dean's expenses and corporate card transactions.
  • Anticipate the needs of the dean and act proactively to support their priorities.
  • Collaborate with the administrative team to implement efficient systems and procedures.

Requirements

  • Bachelor's Degree or equivalent experience is required.
  • 5+ years of experience supporting senior/executive level leaders or related experience is required.
  • Experience with calendar management of senior/executive leaders is required.
  • Advanced fluency with Microsoft Office Suite, including Outlook and collaboration tools.

Nice-to-haves

  • Bachelor's degree strongly preferred.
  • Ten or more years of progressively responsible administrative experience strongly preferred.
  • Experience in an academic environment is preferred.
  • Familiarity with systems, policies, and procedures is preferred.
  • Proven task management and organizational skills are preferred.
  • Excellent written, verbal, and interpersonal communication skills are preferred.
