About the position

The Senior Executive Assistant at Wayfair is a hybrid role based in the Boston headquarters, responsible for managing day-to-day activities for Enterprise Leadership members and leading the Corporate Travel and EA program. This position supports senior leaders and plays a crucial role in the efficiency of executive operations, making it an excellent opportunity for an experienced professional looking to advance their career in a fast-paced environment.

Responsibilities

  • Support the Chief Financial Officer/Chief Administrative Officer and the Chief People Officer.
  • Manage day-to-day administration and coordination of all areas of executive support.
  • Proactively manage calendars, schedule and prioritize meetings, and resolve schedule conflicts.
  • Schedule and coordinate numerous weekly and ad hoc meetings, ensuring effective communication of details.
  • Handle all aspects of travel arrangements, both international and domestic, with flexibility for revisions.
  • Manage business expenses for executives, ensuring timely and accurate processing after trips.
  • Draft communications on behalf of leaders and provide logistical support for large in-office events.
  • Interact professionally with key internal and external contacts, including investors and C-level individuals.
  • Set and administer the Global Corporate travel policy and manage travel vendors.
  • Ensure smooth day-to-day travel booking and traveler support, monitoring travel policies and spend.
  • Act as a point person for visiting executives and large corporate investors.
  • Directly manage 3-5 other senior EA leads and coach them in achieving their career goals.
  • Collaborate with EA Leads and other leaders to enhance the talent development program for Executive Assistants.
  • Thrive in a fast-paced workplace by effectively multitasking and managing competing priorities.

Requirements

  • Bachelor's Degree.
  • 7+ years of meaningful prior experience as an executive assistant, chief of staff, or in business operations, including at least 5 years in a managerial role.
  • Experience working with multiple leaders simultaneously.
  • Demonstrable success in talent development and growing direct reports into expanded or new roles.
  • Ability to be assertive and provide push-back when necessary.
  • Meticulous attention to detail and strong planning capabilities.
  • Demonstrated ability to anticipate needs and situations before they fully develop.
  • Advanced proficiency in Google Enterprise Suite tools (calendar, mail, drive, docs, sheets, slides, meet).
  • Excellent written, verbal, and presentation skills.
  • Extremely high level of discretion regarding confidential information.
  • Flexibility to handle ad hoc issues outside of core business hours.
