About the position

The Executive Assistant (EA) plays a crucial role in supporting the Executive Director (ED) of an organization dedicated to advancing social equity and justice for the Latino community in Los Angeles. This hybrid position requires the EA to work closely with the ED, managing both professional and personal schedules, ensuring that the ED's time is utilized effectively and efficiently. The EA will be responsible for a variety of tasks, including managing agendas, scheduling meetings, and providing personal support such as coordinating childcare and vacations. The ideal candidate will have a minimum of ten years of experience in providing senior-level executive support, demonstrating exemplary skills in time management, critical thinking, and problem-solving. In addition to scheduling and time management, the EA will be expected to maintain professionalism and confidentiality in all interactions. The role also involves coordinating travel arrangements, including flights, accommodations, and ground transportation. The successful candidate will be a flexible team player, willing to adapt to changes and challenges, and will possess excellent communication skills. The position requires availability from 8:30 am to 6 pm, Monday to Friday, with occasional nights and weekends as needed. This role is essential in ensuring that the ED can focus on strategic initiatives and community engagement, ultimately contributing to the organization's mission of empowering the Latino/a community in Los Angeles.

Responsibilities

  • Manage professional and personal scheduling for the Executive Director, including agendas, reminders, and client management.
  • Track and record the Executive Director's time and manage organizational and personal tasks.
  • Implement systems and processes to streamline and maximize the Executive Director's time.
  • Coordinate with all internal and external contacts to facilitate networking and communication.
  • Maintain professionalism and strict confidentiality in all interactions.
  • Plan and coordinate travel arrangements, including flights, accommodations, and ground transportation.

Requirements

  • Minimum of ten years of experience providing senior-level executive support to C-suite Executives and board members.
  • Excellent references are required to validate experience and professionalism.
  • Bachelor's degree preferred, demonstrating a commitment to education.
  • Bilingual in English and Spanish preferred, enhancing communication with diverse stakeholders.
  • Proficiency with office productivity tools and an aptitude for learning new software and systems, with experience in Asana preferred.

Nice-to-haves

  • Experience in a non-profit or social justice organization is a plus.
  • Familiarity with community engagement and advocacy work is beneficial.
