About the position

The Whiting School of Engineering at Johns Hopkins University is seeking a Senior Grants & Contracts Analyst - Restricted Research to coordinate research administration and financial activities within the Engineering Business Office. This role is crucial for managing complex sponsored projects awarded under the Restricted Research classification by the US Government. The analyst will work closely with faculty across the school, handling proposals and awards that often involve cross-divisional collaboration. In this position, the Senior Grants and Contracts Analyst will dedicate over 80% of their time to sponsored funds management, focusing on both pre-award and post-award functions. Responsibilities include proposal preparation, submission, budget development, account maintenance, billing/invoicing, reporting, compliance, and closeout. The analyst will work independently on a variety of grants and contracts, ranging from simple to highly complex, ensuring the timely and effective functioning of sponsored funding. The role also involves providing professional administrative guidance on protocols, regulations, and guidelines to Principal Investigators (PIs) and other research professionals, both within and outside the university. The analyst will offer support and learning opportunities to Grants & Contracts Analysts, Specialists, and Coordinators within the department, fostering a collaborative environment. The types of sponsored awards managed by this position include complex grants and contracts from agencies such as NSF, DOD, and NASA. The analyst will be responsible for detailed budgets, multiple projects, cores, sub-awards, and various types of grants, including Investigator-initiated and Consortium grants. Additionally, the analyst will assist with non-sponsored funds on a limited basis, ensuring comprehensive management of all financial aspects related to research funding.

Responsibilities

  • Coordinate research administration and financial activities in the Engineering Business Office.
  • Manage pre-award and post-award functions including proposal preparation, submission, and budget development.
  • Oversee account maintenance, billing/invoicing, reporting, compliance, and closeout of grants and contracts.
  • Provide guidance on protocols, regulations, and guidelines to PIs and research professionals.
  • Review sponsored project proposals for accuracy and adherence to guidelines before submission.
  • Prepare proposal budgets for Principal Investigator review in a timely manner.
  • Serve as a liaison between research units, central offices, and funding agencies.
  • Ensure compliance with sponsoring organization guidelines and internal protocols.
  • Maintain ongoing updates and communications related to current grants and contracts.
  • Manage post-award processes including award setup, account verification, and budget distribution.
  • Oversee complex award management activities and provide oversight to other employees.
  • Assist with contract and grant closeouts as needed.

Requirements

  • US Citizenship required.
  • Bachelor's Degree in a relevant field.
  • Four years of related experience in sponsored research and/or financial positions, preferably in an academic or medical setting.
  • Knowledge of accounting and budgeting theory and practices.
  • Thorough knowledge of external Federal guidelines/procedures for grants and contracts, including NSF, DOD, and NASA.
  • Intermediate Excel skills, including the use of formulas and pivot tables.
  • Ability to make independent judgments and act on decisions daily.
  • Ability to work flexibly on several tasks simultaneously and meet various concurrent deadlines.

Nice-to-haves

  • Knowledge of The Johns Hopkins University accounting system and related fiscal offices.
  • Experience with Federal Acquisition Regulation (FAR/DFAR).
