About the position

The Senior HR Specialist at the University of Illinois at Urbana-Champaign plays a crucial role in supporting the Department of Business Administration by assisting the Director of Administration with various administrative and human resource functions. This position requires a proactive approach, independent judgment, and the ability to manage multiple tasks effectively, particularly in the areas of faculty recruitment, onboarding, and compliance with HR policies.

Responsibilities

  • Coordinate the faculty recruiting process and serve as the primary point of contact for candidates.
  • Provide guidance and administrative support to the faculty search committee chair and update the Director of Administration and Head of the process.
  • Initiate the visa process for all faculty and visiting scholars, providing guidance on policies and procedures.
  • Serve as the first contact for faculty questions regarding HR employment policies and processes.
  • Prepare salary offer letters for faculty and supervise the civil service HR Representative.
  • Maintain the 1-9 Tracker system for new employees and re-verify information for international employees.
  • Coordinate the onboarding of new faculty to enhance the employee onboarding process.
  • Process Service in Excess forms and enter them in the HR Application Portal for faculty.
  • Monitor required trainings for faculty and student employees to ensure compliance.
  • Maintain the recruiting database and coordinate travel arrangements for faculty searches.
  • Manage the Permanent Resident process for faculty and coordinate visa processes for foreign travel.
  • Assist with the faculty promotion and tenure process and review sabbatical requests.

Requirements

  • Bachelor's degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration or a closely related field.
  • Two years of work experience performing professional-level human resources duties.

Nice-to-haves

  • Master's degree in a related field.
  • One year of professional-level HR duties at the University of Illinois or progressive HR experience related to faculty searches.
