About the position

The Senior Inventory Distribution Manager will have a key role in supporting the mission of Second Harvest of Silicon Valley by overseeing the inventory distribution and menus that serve our clients. This role will manage and monitor the creation of food orders ensuring accuracy within an established timeline. They will oversee and provide strategic direction to efficiently create core box builds that adhere to the set menu plan. By collaborating with the operations, production, and programs teams, they help establish protocols and processes that support and encourage efficient order picking and reporting of core box builds completion. This position will also have a focus on fresh produce, which requires extra attention to aging, rotation, and movement of food so there is not spoilage. Additional projects may also be assigned by Director of Supply Chain to satisfy organizational goals and objectives.

Responsibilities

  • Strategically manage and monitor that the distribution menu guidelines are following the approved annual food plan.
  • Develop and improve the process for ensuring all food distribution orders and core box menus are created accurately and timely.
  • Directly oversee the completion and accuracy of the menu automation process.
  • Manage the tracking, analyzing, and troubleshooting of any issues or concerns that result from order creation.
  • Determine recommended actions that address concerns from other departments (Programs and Operations) to help improve processes.
  • Facilitate, manage, and strategically analyze daily priority production plan and provide direction to the volunteer production team on what projects need to be completed to fulfil orders.
  • Provide incoming feedback to Food Sourcing regarding the quality/viability of produce and inventory levels.
  • Develop and determine distribution solutions for agency return orders, preventing unnecessary waste.
  • Monitor current available inventory and strategically determine distribution plan for aged items, in particular produce.
  • Supervise and provide direction on solutions for issues that contribute to the inaccuracy of inventory transactions and distribution.
  • Manage and oversee the accuracy of new core box item numbers and maintain the process for regular updates based on agreed criteria.
  • Oversee the reconciliation of builds where adjustments to inventory are accurate and correctly reported.
  • Support the efforts in properly accounting for waste from core box builds.
  • Maintain consistent processes for inventory distributions and menus at all warehouses, focusing on streamlining daily procedures.
  • Recruit, lead, and train the inventory distribution team members, ensuring they understand the organization and the responsibilities of their position.
  • Manage, coach, and develop team members to be effective in their current roles and grow their knowledge and careers.
  • Collaborate in building strong relationships with other departments (program, warehouse operations, volunteer production, food sourcing, and IT) to help support organizational projects and strengthen organizational cooperation.
  • Troubleshoot and problem solve for gaps and disruptions that interfere with the internal controls.
  • Strategically analyze current processes to determine areas of efficiency and improvement.
  • Manage, maintain, and adjust department SOPs that relate directly to areas of focus.
  • Assist with high-level projects assigned by the Director of Supply Chain to satisfy organizational goals and objectives.

Requirements

  • Six (6) or more years related inventory management experience, with knowledge of inventory control practices, tracking, distribution, receiving, and reporting.
  • Experience in cycle counting, warehousing, food storage and handling, a plus.
  • At least 2 years of experience leading and managing a team, providing support and direction.
  • Experience writing and implementing processes and procedures from a compliance perspective preferred.
  • A bachelor's degree from an accredited college or university also a plus.

  • Excellent computer, analytical, and organization skills, with the ability to assess systems and processes and make strategic recommendations to enhance programs.
  • Ability to maintain accurate records, create graphs, and conduct analysis. Present inventory report findings or issues to leadership with recommendations for addressing.
  • Ability to make frequent changes of routine and pace of activity due to unpredictable constituent demands without loss of efficiency or composure.
  • Excellent customer service and communication skills. Demonstrated ability to communicate ideas clearly - orally and in writing.
  • Proven ability to operate as a team player and establish and maintain good relationships with people of various ages, educational, ethnic and socioeconomic backgrounds whether staff, volunteers, donors or agencies.
  • Ability to perform duties in accordance with Second Harvest of Silicon Valley Safety Policies and Injury Prevention Program.
  • Possession of a valid California driver license and a clean DMV record. Traveling to/from the different warehouses, via use of company car or personal vehicle will be required to support the department.

  • $93,206 - $109,654 is the salary range for this position. The salary wage offer will be commensurate with skills and experience.
