About the position

Selective Insurance is seeking a Senior Legal Assistant to join our Elmsford, NY Staff Counsel office. This position offers a hybrid work option, allowing for two days in the office and three days remote. The Senior Legal Assistant will provide essential secretarial and administrative support to a team of attorneys while maintaining confidentiality and compliance with applicable legal and regulatory requirements. This role is crucial in ensuring the smooth operation of the legal team and the effective management of legal documents and correspondence. In this position, the Senior Legal Assistant will be responsible for drafting, accessing, and filing documents in the New York State Courts e-filing system. The role involves updating and preparing correspondence and reports using the company's legal case management software, dictation, and voice recognition equipment. Attention to detail is paramount, as the Senior Legal Assistant will proofread final work products to ensure high quality and compliance with office standards. Proactive management of files and effective communication with claims, clients, opposing counsel, and the courts are also key responsibilities. The Senior Legal Assistant will maintain and coordinate the attorneys' calendars, arrange meetings, and manage the filing system and other departmental records. In offices without a Law Office Administrator or Lead Legal Assistant, this role may also involve assisting the managing attorney with ordering supplies and serving as the IT and vendor liaison. The Senior Legal Assistant will open, organize, and close all electronic files in the case management system and coordinate off-site storage for old paper files. Additionally, this position acts as a resource for legal secretaries and managers, providing guidance and coaching on administrative and legal matters while maintaining a high level of productivity.

Responsibilities

  • Draft, access, and file documents in the NY State Courts e-filing system.
  • Update and prepare correspondence and reports using legal case management software.
  • Proofread final work products to ensure high quality and compliance with office standards.
  • Process mail and answer telephone calls.
  • Maintain and coordinate attorneys' calendar or diary.
  • Arrange and coordinate meeting plans for attorneys.
  • Maintain filing system and other departmental records.
  • Assist the managing attorney in ordering supplies in offices without a Law Office Administrator.
  • Serve as IT and vendor liaison and TEAMCONNECT champion when necessary.
  • Open, organize, and close all electronic files in the case management system.
  • Coordinate off-site storage for old paper files.
  • Communicate with claims, clients, opposing counsel, and the courts.
  • Provide assistance to the office team and act as a resource for legal secretaries and managers.
  • Provide other assistance as requested by the manager.

Requirements

  • High school diploma or equivalent required.
  • College degree or business school preferred.
  • 5+ years legal secretary experience in the jurisdiction preferred.
  • Proficiency in Microsoft Word and Outlook required.
  • Typing/dictation skill required.
  • Excel and legal case management software required.
  • Excellent customer service, writing, and oral communication skills required.
