About the position

The Senior Manager of HR Services at Otsuka will play a pivotal role in enhancing the service delivery model of the HR department. This position requires a strategic partner who will work closely with the Director of HR Services to ensure that all HR-related processes are executed efficiently and effectively. The Senior Manager will oversee daily HR operations, manage leave of absence administration, and address escalated requests from employees and managers. This role demands strong leadership skills, the ability to build relationships with key stakeholders, and a proactive approach to optimizing HR processes. The successful candidate will also collaborate with an outsourced HR partner to ensure seamless service delivery across the organization. In managing daily HR operations, the Senior Manager will be responsible for overseeing the HR service center, ensuring that tier 1 and 2 level questions and administrative tasks are handled with a high level of customer service. This includes developing and implementing training and guidance for the outsourced vendor, monitoring service delivery, and ensuring compliance with organizational goals and regulations. The Senior Manager will also manage leave of absence administration, ensuring compliance with all relevant policies and regulations, and will partner with stakeholders on ergonomic and accommodation processes. The role also involves addressing escalated HR requests and issues, serving as a point of contact for complex inquiries, and providing timely resolutions. Regular monitoring of HR processes will be essential to identify areas for optimization and implement changes that enhance HR operations. The Senior Manager will provide guidance and support to HR team members, fostering a collaborative and productive team environment. Building strong relationships with key stakeholders across the organization is crucial for this role. The Senior Manager will act as a liaison between the HR department and other departments, ensuring alignment and support for HR initiatives. Additionally, overseeing the relationship with the HR outsourced partner will be a key responsibility, ensuring high-quality service delivery and maintaining open lines of communication to address any challenges that arise. Responsibilities

  • Oversee and manage the day-to-day HR operations to ensure efficient and effective service delivery.
  • Develop and implement training and guidance to outsourced vendor for current, new, and proposed processes.
  • Monitor service delivery to ensure adherence to guidance.
  • Manage the HR service center, including handling tier 1 and 2 level questions and administrative tasks.
  • Ensure a high level of customer service and support to employees and managers.
  • Ensure HR activities align with organizational goals and compliance requirements.
  • Manage the leave of absence administration in collaboration with the team and outsourced vendor.
  • Ensure compliance with all leave policies and regulations.
  • Handle escalated HR requests and issues, providing timely and effective resolutions.
  • Serve as a point of contact for complex HR inquiries and challenges.
  • Regularly review and monitor aging HR cases.
  • Develop and implement action plans to address and resolve outstanding cases promptly.
  • Monitor HR processes to ensure they are efficient, compliant, and aligned with best practices.
  • Identify areas for optimization and implement changes to enhance HR operations.
  • Offer guidance, support, and training to HR team members.
  • Establish and maintain strong relationships with key stakeholders across the organization.
  • Act as a liaison between the HR department and other departments to ensure alignment and support.
  • Oversee the relationship with the HR outsourced partner to ensure high-quality service delivery.
  • Partner with vendors and ensure service delivery and accountability of the services provided to the team.
  • Identify service delivery opportunities to mitigate challenges in providing seamless service delivery to the business.

Requirements

  • Minimum of 5 years of experience in an operations or related area required, with a strong preference for HR operations experience.
  • Strong knowledge of HR policies, regulations, and best practices.
  • Proficient in HRIS and other HR software tools.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Proven leadership and team management abilities.
  • Ability to work independently and handle multiple priorities in a fast-paced environment.
  • Experience in lean process, process improvement, and implementation of enabling technologies.
  • 7+ years of relevant experience in the HR field and a BS degree, preferably with an emphasis in HR or Business.
