About the position

As the Senior Marketing Event Manager at automotiveMastermind, you will play a pivotal role in shaping the company's commercial and marketing strategy through the execution of in-person events. This position is responsible for leading the development, implementation, execution, and measurement of various events that are crucial for demand generation, retention, and brand recognition. You will oversee events of all types and sizes, from executive round tables and partner/customer sponsorships to large-scale trade shows and conferences, all aimed at building the sales pipeline and enhancing brand awareness. Your primary responsibilities will include managing all logistics associated with planning and hosting in-person events. This entails project management from start to finish, including strategic engagement, theme conceptualization, planning logistics, coordinating guest attendance, and developing pre/post-event communication plans. You will also be responsible for tracking costs and managing budgets effectively. Collaboration is key in this role, as you will work closely with internal teams to support team meetings and internal initiatives as needed. Additionally, you will manage the swag strategy, ensuring that memorable and valuable takeaways are provided at events, as well as supporting internal needs with onboarding kits and branded materials. Success in this role requires a high level of initiative, organization, and the ability to think strategically while also being a doer. You will need to communicate clearly and negotiate effectively with various internal and external stakeholders, demonstrating strong attention to detail in project planning and vendor management to execute top-notch events. Your role will also involve conceptualizing and planning both in-person and webinar experiences that align with the Mastermind brand and vision, engaging customers, prospects, partners, and employees alike.

Responsibilities

  • Conceptualize, develop, and plan in-person and webinar experiences that reflect the Mastermind brand and vision.
  • Manage resources, external support agencies, and contractors to host high-quality events.
  • Negotiate contracts with vendors and business partners with support from Mastermind Legal and Commercial team leadership.
  • Work with Commercial, Marketing, and other internal stakeholders to set goals, define metrics, and ensure alignment with Mastermind business goals.
  • Staff events and assist with set-up/tear down, with approximately 20 to 25% travel required, including nights and weekends.
  • Own and manage swag strategy and inventory ordering to support commercial and internal needs.
  • Collaborate and engage with key stakeholders, teams, and leadership to execute and deliver on the overall event strategy.

Requirements

  • Minimum of five years of experience working in B2B event planning within a marketing team, especially for large trade events.
  • Understanding of general marketing campaign principles and technologies.
  • Experience with budgeting and managing large scale events.
  • Highly organized with strong planning and project management skills, able to build timelines and identify dependencies.
  • Excellent communication and interpersonal skills, with proficiency in networking, negotiation, and persuasion.
  • Ability to thrive in a fast-paced environment while managing multiple tasks and collaborating across teams.
  • Experience working in an automotive retail software company is preferred.
  • Familiarity with Salesforce and Marketo is desired.
  • Experience with digital event solutions and managing webinars on platforms such as Cvent, Zoom, or Filo is desired.
