About the position

The Senior Marketing Meeting & Events Planner at Great Minds is responsible for coordinating and supporting the company's presence at over 200 education tradeshow events and meetings annually. This role requires exceptional organizational skills, customer service expertise, and the ability to manage multiple tasks in a fast-paced environment. The planner will work closely with various teams to maximize event attendance and ROI, while also handling all logistical and administrative details of the events.

Responsibilities

  • Oversee and facilitate various aspects of meeting planning from site selection, event registration, and post-event reporting.
  • Work on multiple national meetings, large-scale conferences and events.
  • Partner with Sales, Success and Product teams to create a strategy for every national event to maximize event attendance and ROI.
  • Nurture and build relationships with vendors and venues while crafting and implementing the creative and logistical aspects of all events.
  • Remain current with trends in event planning, design, and production, and proactively identify and solve operational challenges with internal teams and vendors.
  • Prepare BEO information with event venues.
  • Coordinate travel, lodging and expenses for participants traveling to meetings.
  • Develop and maintain relationships with exhibitors/sponsors.
  • Perform administrative tasks covering meeting preparation, supply ordering, packing/shipping of event materials, and data entry.
  • Create invoices and receipts as requested.
  • Track and code expenses for event budget reconciliation.
  • Create and analyze online evaluations and prepare post-event reports.
  • Evaluate event success and provide evidence-based recommendations to leadership for improvement for future events.

Requirements

  • 5+ years professional meeting experience (education experience preferred).
  • Experienced at negotiating and building partnerships with vendors.
  • Exceptional customer service skills.
  • Strong time management skills and ability to manage concurrent tasks efficiently.
  • Superior attention to detail; first class organizational skills.

Nice-to-haves

  • Up to date on current trends in the meetings industry.
  • CMP certified a plus.
  • Experience with budget preparation and maintenance.
  • Proven project management ability.
  • Innovative and resourceful; actively seeks opportunities to improve meetings and events.
